Job Description:

We are seeking an Administrative Assistant to join our team in San Mateo, CA. I this role, you will provide essential administrative support to ensure smooth office operations and assist managers and employees with various organizational and communication tasks.

Responsibilities:
  • Provide administrative support to managers and employees, ensuring efficient office operations, including handling confidential and time-sensitive materials, managing communication, and organizing meetings and schedules
  • Produce and distribute correspondence, reports, and presentations, maintain filing systems, and manage contact lists while providing general support to visitors
  • Oversee office supply inventory, book travel arrangements, and reconcile expense reports, ensuring smooth logistical operations
  • Handle multiple projects, monitor invoices, and support the development of administrative staff through information sharing and growth opportunities
  • Ensure equipment functionality through preventive maintenance and repairs, and maintain professional knowledge by attending workshops and networking with industry professionals

Requirements:
  • Proficient in Microsoft Office Suite (Word, Excel, Teams, PowerPoint, Outlook)
  • Organizational skills, correspondence, travel arrangements, inventory management, problem-solving, and multitasking
