Job Overview:
As the Executive Assistant, you'll be the glue that keeps our team running smoothly. This role is perfect for someone who loves variety, thrives in a fast-paced environment, and takes pride in ensuring all the details are in place for success. You'll work closely with our Bookkeeper, Marketing Director, and agents to provide top-notch support and service, making each day unique and exciting.
Key Responsibilities:
Team & Client Communication
Serve as the primary point of contact for clients, sending welcome emails, introducing the team, coordinating vendors, and ensuring smooth follow-up after a sale (including personalized closing gifts).
Support the team with onboarding, ordering business cards, open house signs, and ongoing assistance to ensure our agents are equipped for success.
Property Project Management & Support
Act as the go-between for our clients, team, project managers, and vendors during listing preparations and improvements.
Handle various errands such as meeting with vendors, dropping off keys, prepping for open houses, and delivering gifts or lockboxes.
Assist in planning and hosting events, including arranging logistics and vendor coordination for flawless execution.
Help with showings and open houses when needed to ensure everything runs smoothly.
Administrative
Manage and optimize our CRM, ensuring client information is up-to-date and accessible.
Keep our team lead's email organized, schedule open houses, and handle key listing details like ordering floor plans and inspections.
Collaborate with the bookkeeper and accountant to track expenses, manage financials, and provide support with various administrative tasks.
Partner with the Marketing Director to ensure listings are market-ready-whether dropping off marketing collateral or setting up for open houses.
Assist in event planning from start to finish, including managing vendors, payments, and event setups/takedowns
Coordinate team building & holiday activities, such as organizing and distributing tips, team 1:1s, team happy hours/lunches, etc.
Qualifications:
Minimum 3 years of experience in an executive or administrative assistant role, preferably in real estate or related field.
Stellar organizational skills with an eagle eye for detail and a proven ability to handle multiple tasks and deadlines.
A self-starter who thrives in a fast-paced environment and isn't afraid to take the lead on various projects.
Team-oriented, with a positive attitude, strong integrity, and a sense of humor to match our fun and dynamic culture.
Excellent communication skills-both written and verbal-and the ability to connect with clients and team members alike.
Experience with CRM systems, event planning, and project management is a plus.
Must have a valid driver's license and reliable transportation.
