Position Overview:

This role is for an experienced for full-time Business Systems Program Manager with a minimum of 15 years of experience leading complex, high-value, cross-functional programs. The ideal candidate will have a strong background in managing business systems design and development, along with exceptional skills in risk identification, anticipation, and mitigation. A proven ability to effectively communicate program progress and risks to senior management is essential. This role will require managing multiple projects within the constraints of scope, quality, time, and cost while ensuring that stakeholders are fully informed throughout the program lifecycle.

Key Responsibilities:
  • Program Leadership: Lead the successful execution of high-value, complex, and cross-functional programs involving multiple business systems projects. Align program goals with business objectives, ensuring seamless execution and delivery.
  • Cross-Project Communication: Develop and manage communication strategies to facilitate clear, consistent, and effective communication across project teams and stakeholders. Ensure all project milestones and deliverables are communicated promptly to relevant parties.
  • Reporting to Senior Management: Provide regular, transparent, and detailed updates to senior management, highlighting key project milestones, risks, issues, and overall program status. Deliver executive-level reporting on program performance, including dashboards and presentations.
  • Documentation of Business Systems: Ensure detailed documentation of business systems designs, development processes, system requirements, and integration points. Work closely with technical teams to capture and communicate design and development documentation for future reference and audits.
  • Scope, Time, Quality, and Cost Management: Lead the program within agreed-upon scope, quality, time, and cost parameters. Ensure strict adherence to project goals and timelines while delivering solutions that meet high-quality standards.
  • Risk Identification, Anticipation, and Mitigation: Proactively identify, anticipate, and mitigate risks across the program. Develop robust contingency plans, track potential risks, and ensure timely resolution of issues. Act as a key driver in mitigating program risks that could impact timelines, scope, or cost.
  • Stakeholder Engagement: Engage with key stakeholders, including executive sponsors and cross-functional teams, to ensure their needs and expectations are well-understood and managed. Ensure all stakeholders are kept informed of program progress, risks, and decisions.
  • Program Tracking & Reporting: Utilize advanced tracking and reporting tools to monitor program health, key performance metrics, and project deliverables. Create comprehensive reports and dashboards for senior leadership, ensuring visibility into program status at all times.
  • Business Systems Design & Development Oversight: Collaborate with technical architects, developers, and business analysts to oversee and document business system architectures, workflows, and data flows. Ensure the alignment of technical design with business objectives and efficient integration of systems.
  • Process Improvement: Continuously assess and improve program management processes, including risk management, reporting structures, and business systems documentation to enhance overall program efficiency and effectiveness.
  • Leadership & Mentoring: Lead and mentor project managers and other program team members, providing guidance to ensure program objectives are met. Foster a collaborative and solution-oriented work environment.

Required Qualifications:
  • Experience: At least 15 years of experience in program and project management, with a focus on business systems and cross-functional project delivery.
  • Risk Management Expertise: Demonstrated experience in identifying, anticipating, and mitigating risks in large-scale, complex programs. Strong problem-solving skills to resolve issues before they become critical.
  • Senior Management Reporting: Proven ability to provide clear, concise, and comprehensive reports to senior leadership, including risk assessments, project milestones, financial updates, and performance metrics.
  • Business Systems Documentation Skills: Extensive experience documenting business systems design, technical requirements, and development processes. Familiarity with diagramming tools and best practices for system documentation.
  • Leadership & Communication Skills: Strong leadership, communication, and interpersonal skills, with a proven track record of managing cross-functional teams and ensuring alignment with business objectives.
  • Technical Acumen: Deep understanding of business systems (e.g., ERP, CRM, financial systems) and the ability to oversee their design, development, and integration into business operations.
  • Budget & Resource Management: Proven experience in managing program budgets, resource allocation, and ensuring cost-effective delivery of high-quality solutions.
  • Tools: Proficiency with program management and reporting tools (e.g., Azure ADO, MS Project, Jira, Smartsheet) and system documentation tools (e.g., Visio, Lucid chart).

Preferred Qualifications:
  • Bachelor's degree in Business, Information Systems, or a related field. (A master's degree is preferable but not required)
  • Experience in industries such as Physical Supply Chain
  • Advanced certifications such as PgMP, MSP, or other relevant program management certifications
