Administrative Support and Communication Specialist

Optomi, in partnership with an industry leader in Banking Services, is seeking an experienced Administrative Support and Communications Specialist for a hybrid opportunity in Phoenix Arizona! This candidate will show significant communication, administration, scheduling, documentation, and presentation skills. This Support Specialist will offer 3+ years of administrative or communication roles. This candidate will be able to collaborate professionally and successfully with management and associates and engage with flexibility to build positive relationships., while having the ability to assist with multiple projects at the same time and seeing them thru completion within deadlines and shows initiative.

Responsibilities of the right candidate:
  • Business Support - Responsible for administrative and logistical support, assessing and resolving issues that affect daily operations. Coordinates key communications, assists Leaders with reporting, and acts as a department representative within the Bank.
  • Scheduling - Organize and coordinate correspondence in a timely manner. Maintains department documentation, coordinates meetings, scheduling, and other events effectively, arranging all necessary logistics and materials.
  • Documentation - Prepares and maintains a variety of documents for key business support functions. Assists with the creation of presentations or other tasks related to business routines and goals. Provides accurate data management to track key department processes, identifying discrepancies and trends while being highly organized.
  • Communications - Develops written communications that are clear, concise, and consistent, and ensures timeliness of messaging. Is a forward thinker and can engage the audience through relevant content.
  • Collaboration - Collaborates professionally and successfully with management and associates and engages with flexibility to build positive relationships. Has the ability to assist with multiple projects at the same time and seeing them thru completion within deadline. Shows initiative.
  • OVERVIEW: This role will report to and support the CAB Technology Chief of Staff. This candidate performs a wide range of administrative and staff support duties by assisting with daily operations, reporting, maintaining documentation and scheduling. Enhances workflow by assisting with communications, presentations, and interfaces with all levels of leadership and associates. Serves as a key partner by creating and managing documentation and communications that are concise, timely, and effective for associates. Demonstrates positive and effective collaboration across departments.

Experience of the right Candidate:
  • High School Diploma or GED and 3 years of experience in Administrative OR Communications.
  • Experience working in/supporting technology teams; comfortable with general technology terms and functions.
  • Preferred Area of Study: Administrative or Communications
  • Preferred Area of Experience: Excellent communication and written skills in English
  • Understanding of corporate environment, is highly organized, communicates well with others; knowledge of PowerPoint, Microsoft Teams, Microsoft Office; willingness to learn and develop yourself and your career in a professional organization.
  • Experience in Visio is a plus.
  • Working in a Red Tape Environment.
