Our client, a leading finance firm, is seeking a highly organized and proactive Executive Assistant to support a team of professionals. This role requires an EA with 3-5+ years of experience in a professional services environment, such as private equity, finance, law, or consulting, etc.. The successful candidate will play a pivotal role in ensuring the smooth day-to-day operations of the firm by providing comprehensive administrative and executive support.
Key Responsibilities:
Coordinate and manage complex schedules for multiple executives, including scheduling meetings, calls, and appointments across multiple time zones.
Arrange domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries.
Organize and prepare materials for internal and external meetings, including presentations, reports, and agendas.
Handle confidential documents, organize files, and assist in the preparation of important reports and presentations.
Track and manage expenses, process reimbursements, and ensure compliance with company policies.
Serve as the primary point of contact for the executives, managing both internal and external communications efficiently.
Assist with planning and coordinating team events, investor meetings, and offsite activities.
Assist with office management tasks as needed, ensuring smooth day-to-day operations.
Support ad-hoc projects and initiatives, providing administrative support and research as needed.
Qualifications:
3-5+ years of experience as an Executive Assistant in professional services (private equity, finance, law, consulting).
Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
High level of discretion and confidentiality.
Excellent verbal and written communication skills.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other office software.
Experience coordinating international travel and managing multiple time zones.
Ability to work well under pressure and in a fast-paced environment.
Strong attention to detail and ability to anticipate the needs of executives.
