Job Description:

The program assistant position is a full-time (100%), 12-month assignment and will report to the director of Upward Bound. The program assistant shall possess the Bachelor degree in Business, Office Management, or a related field with equivalent experiences; a minimum of three years supervisory and grant budgeting experience; demonstrated success in working with disadvantaged and at-risk students; experience in data management, payroll, bookkeeping; and strong communication, organizational, interpersonal, and technological skills. The program assistant shall perform administrative tasks relevant to program management and supervision; maintain all department budget records; label, organize, and maintain all program files; supervise and train all clerical staff; maintain, analyze, reconcile financial accounting reports of unit budgets; and serve as a communication link for unit personnel. The program assistant will also access the academic and social needs of program participants; administrative tasks relevant to curriculum management and supervision; assist with designing and implementing a challenging and exciting academic curriculum, services, and activities for program participants under the general supervision of the Upward Bound Director; implement program procedures to place program graduates into post-secondary institutions with adequate financial aid; maintain accurate and accessible documentation of participants; and assist with coordinating services and activities for Upward Bound participants under the general supervision of the Upward Bound Director.
Responsibilities
  • Conducts trainings and supervises Academic Mentors and Tutor Counselors;
  • Designs and maintains the curricula for students during the Academic Year and Summer Component;
  • Prepares the schedule of academic classes;
  • Maintains students' files;
  • Maintains programs database system; Assists Director with Recruitment;
  • Assists Director with Annual Performance Report; Attends required administrative trainings; and
  • Assists Director with other duties and grant related responsibilities as necessary.
Requirements
Must have at least three years of experience working with disadvantaged at-risk youth in an educational setting or related area. Must be able to interact well with students, parents, teachers, guidance counselors, and people from the community. This person must also have the ability to handle multiple tasks and prioritize. Must be willing to work flexible hours inclusive of some weekends. Must be willing to travel. Possess detailed knowledge of office management procedures to include records retention; five years of experience in data management, payroll, bookkeeping; and strong communication, organizational, interpersonal, and technological skills.
Education
Bachelor's degree in Counseling, Education, Business, or a similar field required.
