Job Description:

Title: Executive Assistant/Project Administrator

Location: Chicago, IL (Hybrid - 2 days in the office, 3 days at home)

Hire Type: Direct Hire

Salary: $80-100K yrly

Must have: Experience supporting upper management specifically in HR

The ideal candidate for this position will excel if they can keep their calm in a high pressure environment coordinating the logistics of the CHRO of the company. The candidate should have some relevant experience to the role that highlights their capability to conduct all administrative work, making sure the CHRO's operations run smoothly. Thus, the candidate should be detail oriented and a creative problem solver.

Responsibilities
  • Control workflow across the HR leadership team
  • Handle all logistics CHRO related Interact with leadership, internally and externally
  • Maintains annual HR planning calendar and coordinates respective updates, actions and routines
  • Coordinates local training logistics at HQ office
  • Develops, compiles and reviews standard reports, presentations, and employee communications
  • Ability to work proactively, anticipate needs, problem-solve, and mitigate issues

Qualifications

  • Bachelor's degree or equivalent experience
  • Ability to handle ambiguity and work in a fast paced, entrepreneurial environment
  • Ability to manage a high volume of external and internal facing requests with organization and a sense of urgency - prioritizing and ensuring timely follow-up and through
  • Maintain a high level of confidentiality, professionalism, discretion, and judgement at all times
  • Proficient in Microsoft Office, including Outlook, Word, Excel, and PowerPoint
  • Strong organizational skills with the ability to manage deadlines, prioritize workload in a fast-paced environment, with the ability to quickly adapt to changing business needs
  • Ability to exercise self-direction, good judgment, and diligence in identifying resources, mapping out and executing action plans, gathering and organizing data, and communicating with involved parties
