Job Description:
Location: Cambridge, MA
Description: Our client is currently seeking an Assistant Facilities Manager
Resource's typical working day:
- Develop and maintain positive relationships with the greater facilities and operations team. This includes but is not limited to vivarium operations, lab managers, union technicians, and third-party service providers.
- Oversees and/or coordinates maintenance/repair work assignments performed by technicians, vendors, and contractors performing building maintenance, landscaping, and janitorial work.
- Respond to client inquiries and concerns. Ensures timely and quality service delivery to clients. Follows up with clients to ensure customer satisfaction.
- Performs facilities inspections and prepares reports.
- May coordinate and manage move, add, and change activities.
- Assists in the preparation of operating and capital budgets.
- Manages vendor relationships and trains vendors on work orders and billing procedures. Processes invoices and ensures proper cost center coding.
- Reviews periodic reports including financials and explains variances. Works with the finance team to correct errors.
- Uses PC and/or mobile phone for work order system, email, process, and procedure training.
Years of Experience needed: 2+ Years of project management or facilities management in regulated environments such as hospital/ healthcare, life sciences/ pharmaceutical, and/or other critical environments.
Level of Education: H.S Diploma
Systems/Software proficiencies: Intermediate skills with Microsoft Office Suite, Outlook, and intranet/internet. Ability to use a work order system.

Top Nice to have Skills: Previous experience with vendor/work order management preferred.
