Handle incoming phone calls, room patients, and schedule appointments efficiently.
Create new patient profiles, entering accurate demographic, doctor, and insurance information into the system.
Reach out to patients on call lists to schedule appointments and ensure all intake processes are completed, including collecting co-pays and verifying HIPAA and insurance information.
Facilitate smooth patient flow by notifying the practitioner of arrivals and assigning rooms.
Collaborate with practitioners after visits to review patient costs, insurance details, and estimated payments.
Coordinate out-of-office appointments for patients when referrals to other clinics are necessary.
Maintain organized patient and employee forms in the lobby and break room.
Handle mail distribution, manage voicemail messages, and relay them to appropriate team members.
Ensure all practitioner notes and documentation are complete and that follow-up plans for patients are in place.
Order office supplies weekly to ensure a well-stocked clinic.
Record notes from monthly company meetings.
Foster a collaborative environment through effective communication with co-workers and clients.
Qualifications:
Previous experience in clinic patient scheduling or a medical office environment preferred.
Knowledge of third-party payer coverage requirements, including Medicare, commercial insurance, and workers' compensation.
Proficient with Microsoft Office Suite
High school diploma required; Associate's or Bachelor's degree preferred.
