This part-time position will be placed on the College hourly rates scale, grade 5 with minimum starting hourly rate of $17.53 per hour.

Pay Grade: 5 (minimum starting hourly rate $17.53)



FLSA Status: Non-Exempt



In-person, 20 hours per week, flexible schedule based on project needs. Workdays and hours may vary from Mon. - Fri., 8a - 5p. Some evening hours may be permitted.




JOB SUMMARY


This position provides administrative support to the Director, Facilities Planning and Management and to the Assistant Director, Facilities Operations and Auxiliary Services, with primary duties associated with overseeing the effective creation, processing, and maintenance of renovation project file records, purchasing records and archives. This position reports to the Director, Facilities Planning and Management.




ESSENTIAL JOB FUNCTIONS:



  • Sorting, creating new filing systems related to renovation projects, and filing as directed.

  • Compiling established procedures into uniformly styled lists and procedures

  • Processing purchase orders and tracking records for vendor payments

  • Performing data entry and tracking to assist project managers with progress reports

  • Compiling correspondence to internal and external constituencies

  • Scheduling appointments

  • Answering phones as needed

  • Assisting the Director as needed with state reports

  • Communicating information to a diverse population regarding policies, procedures, and/or general information for college personnel, students, and the community, using discretion as appropriate and required

  • Assisting with the coordination of assignments between the Facilities, Maintenance, Environmental Services, and Receiving staff

  • Other duties as assigned.

Job Requirements



MINIMUM REQUIREMENTS TO PERFORM WORK:



  • High school diploma or equivalent with three years of similar office support experience or associate degree with one year of similar office support experience.

  • Proficiency with Microsoft Office applications.

  • Proficiency with small office equipment (e.g., copy machines, multi-line phone systems).

  • Excellent telephone, oral, written, and interpersonal communication skills.

  • Excellent and effective organization and customer service skills.

  • Ability to work with a diverse population of faculty, staff, students, patrons, vendors and contractors.

  • Excellent time management skills with demonstrated ability to work calmly, professionally, and effectively in an environment of competing priorities.

  • Must be positive, cooperative and supportive.




PREFERRED




  • Experience in higher education.




PHYSICAL DEMANDS:


The work is normally light work which requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.


Additionally, the following physical abilities are required:



  • Hear/talk/communicate - Must be able to exchange information and communicate

  • Visual Acuity - Ability to perceive or detect surroundings

  • Mental Acuity - Able to focus, concentrate, understand, and convey subject matter

  • Repetitive motion (i.e., keyboarding)

  • Stand/sit/walk/able to move or traverse from one area to another




WORK ENVIRONMENT:


College campus, direct contact with diverse students, staff, faculty and the general public in classrooms, common and shared areas, offices, and campus environments. Work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as office, meeting, and training rooms. Use of safe work place practices with office equipment; computers for data entry and word processing with some highly technical applications and new technology systems; avoidance of trips and falls; observance of workplace and fire and building safety regulations and all College policies.
