Job Description:

A great Financial Services company has an immediate need for an experienced, top level Executive Assistant. This role will assist 4 senior executives in managing their schedules, preparing reports and documentation, handling communication from both internal and external sources, and executing multiple complex and diverse special projects, as directed. This individual must exhibit attention to detail and accuracy, enthusiasm, and a focus on maintaining the confidentiality of all corporate, personnel, research, and personal matters.

Essential Duties and Responsibilities

Provide administrative support to the executives including:
  • Client correspondence and communication
  • Candidate and Client schedule coordination
  • Document and report preparation
  • Travel planning and support
  • Execution of client related activities as needed
  • Schedule management using integrated Outlook calendars

Requirements

The ideal candidate will be resourceful, action-oriented, and enjoy working in a direct partnership with the Executives.
  • Three years of experience as an Executive Assistant, including support of C-Suite executives; experience in Professional Services firms is highly desired.
  • Strong communicator with the skills to create reports and write business correspondence.
  • Ability to anticipate needs and solve problems independently.
  • Balanced disposition and a strong, collaborative, and interdisciplinary approach to project management.
  • Strategic thinker who can anticipate problems proactively and resolve conflicts respectfully and thoughtfully.
  • Strong verbal and written communication skills and an accomplished active listener.
  • Professionalism in communication with internal and external sources.
  • Clear and concise communications via email, memoranda, phone calls, and face-to-face.
  • A team player with strong interpersonal skills and the ability to effectively interact with staff, partners, and clients effectively.
  • Strong problem-solving skills and ability to think outside the box.
  • Efficient work habits and the ability to be self-directed and proactive.
  • Superior follow-up skills, incredibly well-organized, and detail-oriented
  • Proficient with MS Office Suite, particularly Outlook, Word, Excel, and PowerPoint, and strong internet research experience and aptitude with current technology and apps.
  • Interest in learning new skills and about new projects as the firm continues to grow.
