The Encompass Group is partnering with a reputable construction company in the North Charleston area to identify a highly skilled Project Administrator to add to their team. The Project Administrator is responsible for various administrative duties surrounding each project from inception to close out. This is an important position that contributes to both the Accounting Department & Project Management team.
Responsibilities
Build and organize job files
Create submittal and closeout documents for submission to clients upon project completion
Provide administrative support for the project management team
Review & approve weekly time sheets
Request project-specific insurance certificates
Convert Bids to active Contracts in project management software
Process monthly Payment Applications each month. This includes standard AIA billing as well as various online billing processes
Follow up on all receivables & send the Controller an updated "Open Invoice Report" biweekly
Record monthly billing totals & reconcile with GL revenue accounts
Update the billing checklist throughout the month to be reconciled with billing totals
Enter job costing data in project management software as needed
Process lien waivers once accuracy is confirmed
Process supplier warranty requests
Create Purchase Orders
Qualifications
Must be a highly organized person with good communication and people skills, able to work in fast-paced environment
Possess a high level of attention to detail with the ability to multitask and re-prioritize workload as needed
Proficient with MS Office suite and the operation of standard office equipment
Two years of experience in a construction environment
Knowledge of AIA billing documents & processes
Job Cost Accounting experience preferred
