Job Title: Scheduling Coordinator

Duration: 3+ Months (With extension)

Location: Glendale, CA 91208

Description:
  • The Scheduling Coordinator schedules patient appointment/follow ups and/or surgeries as appropriate in the assigned unit/clinic.
  • Obtains authorizations and pre-authorization for services to be rendered. Verify insurance eligibility.
  • Schedules ancillary appointments as necessary for patients.
  • Ensures patient charts are prepared prior to appointments/follow up and/or surgery including x-rays and pertinent lab work.
  • Decides for any special equipment as needed. Reviews and codes charge slips for patient care services and/or surgical services rendered.
  • Maintains files and records, including supporting documentation for insurance claims.
  • Maintains master appointment/surgery calendar for physician(s).
  • Oversees equipment and office supply inventory. Reads all incoming mail, prioritizing and distributing as appropriate.
  • The Scheduling Coordinator acts as a liaison with other departments and physician office staff and arranges for all necessary support services and equipment needed for a case.

Responsibilities :
  • The Scheduling Coordinator actively coordinates an organized and efficient case flow of the surgery scheduling future day-to-day activities monitoring/resolving potential surgery scheduling conflicts.
  • The Scheduling Coordinator acts as a liaison with other departments and physician office staff and arranges for all necessary support services and equipment needed for a case.
  • Adheres to protecting patient confidentiality.
  • Promotes a professional business atmosphere utilizing the business computer communication systems.
  • Interacts with others in a positive, non-judgmental manner, managing conflict constructively avoiding escalating negative situations.
  • Communicates all changes with patient and surgical case information to all involved personnel.
  • Demonstrates accuracy and thoroughness in entering information into the computer systems.
  • Demonstrates flexibility, self-direction, accuracy and problem-solving skills in daily activity.
  • Analyze/plans/prioritizes workload anticipating conflicts.
  • Develops/Participates in Performance Improvement process.
  • Consistently performs duties without interruptions to get job duties completed timely.
  • Demonstrates flexibility in covering others for sick time, vacation, leave of absence or requested day off.
  • Participates in additional projects and assignments as requested.
  • Contributes to a positive departmental morale.

  • Minimizes unnecessary conversations to maximize productivity time during shift.
  • Ensures patient charts are prepared prior to surgery including x-rays and pertinent lab work.
  • Works positively with colleagues to create an effective, efficient workplace dedicated to customer service and quality patient care
  • Considers cost-containment measures and efficient use of supplies when ordering.
  • Follows appropriate procedures for verification of physician credentialing.
  • Follows appropriate procedures for obtaining authorizations and pre-authorizations for surgery services.
  • Maintains accurate master surgery calendar for physician(s).
  • Schedules clinic appointments and patient surgeries and other ancillary appointment in a timely manner.
  • Reviews and codes charge slips for patient care services and/or surgical services rendered.
  • Release Operating Room open block in a timely manner.
  • Maintains accurate documentation for insurance claims and submits claims in a timely manner.
  • Answers telephones
  • Process/verify insurance eligibility
  • Obtain insurance authorizations
  • Register patients in electronic health record, Cerner.
  • Performs other related duties as assigned.

  • Ability to understand medical/surgical terminology.
  • Knowledgeable and compliant with HIPAA regulations; maintains strict confidentiality of patient and client
