Job Description:

Executive Assistant to CEO & Team

A global investment firm is hiring for a professional and detail-oriented Executive Assistant to primarily support the CEO, along with 3-4 additional professionals.

Salary commensurate with experience: $130-160k base range + discretionary bonus + fully paid benefits, 401k match and unlimited PTO

Hybrid: 4 days/week in the office in Midtown NYC, 1 day remote

Hours: in office hours 8am-5pm with a 24/7 mentality and flexibility required

Responsibilities include:
  • Coordinating and managing complex calendars including scheduling meetings and prioritizing conflicting demands and ensuring the most efficient use of the executive's time.
  • Preparing agendas, materials, and presentations for meetings.
  • Arranging all aspects of domestic and international travel creating detailed itineraries and providing support when needed throughout traveler's trip.
  • Providing general administrative support to the executives, such as screening phone calls and drafting correspondence
  • Building and maintaining positive relationships with clients, partners, and colleagues on behalf of the CEO and Senior Management team.
  • Processing and tracking expense reports with the T&E policy best practices.
  • Providing administrative back-up (as needed) to the EA team.

Qualifications:
  • 5-8 years of Executive Assistant experience - background working in financial services strongly preferred
  • Excellent organizational and time management skills, with the ability to multitask and prioritize tasks effectively.
  • Ability to manage sensitive and confidential information with discretion.
  • Advanced Proficiency in Microsoft Office Suite. Experience with Concur a plus.
  • Excellent written and verbal communication skills, and able to interact with people of all levels in a confident, professional manner.
  • Experience with domestic and international travel planning.
  • Take initiative and have the ability to exercise judgment in complex and ambiguous situations.
  • Ability to work independently with minimal supervision and as part of a team.
