Interlibrary Services Request Assistant

Position Summary

The employee in this position will serve as the primary request processor for patron requests related to the Interlibrary Services (ILS) department of the Michigan State University Libraries, independently overseeing specific workflows related to MSU Library student, staff, and faculty requests. They will demonstrate a high level of expertise and knowledge on the processes and policies of each service provided, ensuring accuracy, timely action, and adherence to MSU Libraries and ILS policies. They are also expected to work closely with patron requests exercising judgement and consistency. They will communicate library and unit policies to patrons and staff (both within and outside MSU) via email and telephone. They will maintain knowledge of all ILS policies and procedures, fill in for other ILS staff as needed, and act as a resource for student employees. Includes other duties as assigned by the manager and department head.



Characteristics Duties and Responsibilities



Monitors and processes select Borrowing and Document Delivery workflows and independently resolves complex problems related to these areas. Routinely audits these processes in order to maintain turnaround time commitments. Coordinates with Borrowing Manager to review and create procedural documentation and provide suggestions for workflow improvements in this service module. Will use multiple bibliographic tools and databases to process patron requests. Monitors specific workflows, including assisting in resolving or redirecting unfilled requests requiring extensive searching. Monitors and prepares incoming library material in adherence with ILS borrowing policies. Communicates library and ILS policies to patrons and staff via telephone and email. Assists patrons directly with questions regarding their requests. Provides extended and moderately complex bibliographic research assistance to MSU students, staff, and faculty using standard reference materials, and provides operational instruction. Will forward issues with requests to Borrowing Manager for further processing as needed. Manages all special, valuable, and restricted-use library material - both MSU owned and on loan from other libraries - ensuring adherence to borrowing conditions and Special Collections handling requirements to ensure the secure use of these materials. Has a high knowledge of both lending and borrowing processes in the unit in order to provide back-up coverage for tasks during staff absences.

Minimum Requirements

Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program; one to three years of related and progressively more responsible or expansive work experience in an office setting; experience with database, spreadsheet, word processing, library automation system support and web page design; or an equivalent combination of education and experience. May require recent experience in an academic library and/or the ability to read and translate one or more foreign languages.
