Job Description:

This role provides overall administrative support for the Managing Director, Chief Human Capital Officer and a Director in the Human Capital Group. This position requires discretion and respect for confidentiality, independent judgment and ability to take initiative to plan, prioritize, and organize a diversified workload.

Responsibilities:

? Heavy calendar maintenance; organize and arrange meetings both in person and virtually, and across time zones.

? Book conference rooms; enter visitors in building system, greet and escort visitors.

? Answer phones, take accurate and detailed messages; sort and distribute mail.

? Comfortable with all aspects of travel arrangements, both domestic and international.

? Process all expenses and invoices via Concur.

? Prioritize own work based on established deadlines; manages time efficiently.

? Alerts colleagues of pending deadlines and/or priorities those that require attention.

? Receives and screens phone calls and greets visitors.

? Assist with firm-wide programs and projects including recruiting processes and training programs as needed (all human capital team members pitch in on programs, etc.)

? Answer non-routine correspondence and work with confidential and sensitive information.

? Back-up to HR Coordinators

Skills & Requirements:

? 5+ years experience working as an Executive Assistant. Working in Human Capital helpful, not required;

? Strong communication skills both written and verbal;

? High regard for confidentiality and absolute discretion required;

? Ability to multi-task/prioritize and work under pressure. Manages time effectively, good attention to detail and organizational skills;

? Anticipates needs and/or potential problems; initiate steps to resolve issues. Ability to be resourceful and proactive in dealing with issues that may arise.

? Strong interpersonal skills. Works effectively and efficiently independently and in a team.

? Proficiency in MS Teams, Word, Excel, PowerPoint, Outlook is required.

? Flexibility for overtime with little or no advanced notice is required.
