As we continue to grow, we are looking for a skilled Office Administrator to join our team and help us maintain our high standards of efficiency and compliance.

Job DescriptionWe are seeking an experienced and detail-oriented Office Administrator to manage our administrative operations. The ideal candidate will have a strong background in accounting, payroll, budgeting, and human resources. This role requires someone who is organized, proactive, and able to handle multiple responsibilities with precision and confidentiality.

Key Responsibilities
• Accounts Receivable/Accounts Payable (AR/AP): Manage invoicing, payments, and collections. Ensure accurate and timely processing of invoices and payments.
• Payroll: Administer weekly payroll, including tracking employee hours, processing payroll changes, and ensuring compliance with federal and state regulations
• Compliance: Ensure the company adheres to all relevant laws and regulations. Maintain and update compliance documentation.
• Managing Books: Maintain accurate financial records and oversee general ledger functions. Reconcile accounts and prepare financial statements.
• End of Year Accountant Prep: Prepare all necessary documentation and reports for the end-of-year accounting process.
• Collections: Follow up on outstanding invoices and manage collections efforts to ensure timely payment.
• Human Resources: Assist with HR functions, including employee onboarding, benefits administration, and maintaining personnel records. Address employee concerns and ensure a positive workplace environment.

Qualifications
• Proven experience as an Office Administrator, Office Manager, or relevant role.
• Strong knowledge of accounting principles and payroll procedures.
• Proficiency in QuickBooks and Microsoft Office Suite (Excel, Word, Outlook).
• Excellent organizational and multitasking abilities.
• Strong attention to detail and problem-solving skills.
• Ability to maintain confidentiality and handle sensitive information.
• Excellent communication and interpersonal skills.
• Knowledge of human resources principles and practices.
• Experience in a small business environment is a plus.

Education
• Bachelor's degree in Business Administration, Accounting, Finance, or related field preferred or equivalent experience.
• Relevant certifications (e.g., CPA, HR Certification) are a plus.
