Position Title: Program Coordinator

Department: Administration

Reports to: Executive Director

Organizational Description: Centro Hispano de Frederick addresses the needs of immigrants, especially Hispanic individuals, and people from more than 20 countries around the world. Centro Hispano de Frederick provides services that facilitate their adjustment, integration, and friendship with the wider society, nurtures their sense of community, and fosters an appreciation for the diversity of culture and heritage.

Position Summary: The Program Coordinator performs program and administrative work in coordinating programs, data processing, record-keeping, reporting, and tracking grant and financial records. The position will serve as an administrative assistant to the Executive Director and office manager. The position deals with a diverse group of external and internal stakeholders.

Essential Functions

Planning and coordinating: Developing and implementing programs, activities, and events. This includes creating schedules, timelines, and budgets.

Managing staff: Assigning work, managing workloads, and resolving conflicts.

Monitoring: Ensuring programs are on schedule, within budget, and meeting standards.

Communicating: Coordinating with staff, stakeholders, and participants. This includes managing marketing and communications and facilitating positive relations.

Creating materials: Designing curricula, creating schedules or pamphlets, and organizing professional development programs.

Maintaining records: Creating and maintaining program records, reports, presentations, and proposals.

Fundraising: Assisting the Executive Director in contacting potential donors and in writing grant applications.

Other responsibilities include:
• Composing, typing, and editing correspondence, reports, memoranda and other material
• Assisting as necessary with administrative tasks, i.e., scheduling appointments, coordinating forms and

files, scheduling meetings, copying, filing, scanning, preparing mailings, etc.
• Providing clerical support to Executive Director
• Working independently and within a team on special nonrecurring and ongoing projects

Salary
• The pay range for this position is $55,000-$65,000 depending upon qualifications

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, telephones, photocopiers, filing cabinets, fax machines, etc.

Position Type and Expected Hours of Work: This is a full-time position. Days and hours of work are generally Monday through Friday, 9:00 a.m. to 6 p.m. Some weekend and evening work will be required, as well as offsite work.

Required Education and Experience: Bachelor's degree in education, nonprofit management, social services, or an equivalent degree; five years of administrative experience required; and work experience with the Hispanic community is a plus.

Computer Literacy: Excellent knowledge of Microsoft Office Suite - especially Word, Outlook, Excel, and PowerPoint. Knowledge of QuickBooks and Mail Chimp is a plus.

Physical Demands: This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets, and bend or stand as necessary.
