Job Summary:

We are seeking an experienced Office Administrator and Accounting Coordinator to manage our financial transactions, order management, inventory control, and general office administration. This role is crucial in ensuring the smooth operation of our business processes and maintaining accurate financial records.

Key Responsibilities:

Accounts Receivable (AR):
  • Process and manage incoming payments.
  • Prepare and send invoices to clients.
  • Monitor accounts to ensure timely payments.
  • Reconcile AR accounts and resolve discrepancies.

Accounts Payable (AP):
  • Process and verify vendor invoices.
  • Schedule and prepare payments.
  • Maintain accurate records of all AP transactions.
  • Reconcile AP accounts and resolve discrepancies.

Order Management:
  • Process customer orders and ensure timely fulfillment.
  • Coordinate with the warehouse team for order picking, packing, and shipping.
  • Communicate with customers regarding order status and any issues.

General Office Administration:
  • Coordinate office activities and operations to ensure efficiency and compliance with company policies.
  • Manage phone calls and correspondence (e.g., email, letters, packages).
  • Maintain and update office records and databases.
  • Track and order office supplies as needed.
  • Assist with scheduling meetings, appointments, and travel arrangements.
  • Support budgeting and bookkeeping procedures.
  • Welcome visitors and direct them to the appropriate personnel.
  • Assist colleagues with various administrative tasks as needed.

Skills and Qualifications:
  • Business Administration Degree, Operations Degree, or demonstrated competency with equivalent experience.
  • Proven experience in AR, AP, Order Management, and Office Administration.
  • Proficiency in accounting software and order management systems.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Ability to work independently and as part of a team.

Expected Hours of Work:

Days of work are Monday through Friday. Evening and weekend hours are not required.
