As an Administrative Assistant, you will play a crucial role in ensuring the smooth operations of our office. You will provide essential support to our financial planning team, helping to create outstanding experiences for our clients and contributing to our mission of helping them thrive.

Minimum Requirements:
  • High school diploma or equivalent
  • Previous experience in an administrative role, preferably in a financial or professional services environment
  • Strong organizational skills with the ability to manage multiple tasks and priorities
  • Excellent communication skills, both written and verbal
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and familiarity with Salesforce or other CRM software

This position requires that you possess the following skills:
  • Ability to prioritize projects and manage time
  • Savvy customer service, to include excellent communication, both verbal and written
  • Strong follow-through
  • Good-natured, positive attitude
  • Ability to demonstrate persistence to achieve quality

Responsibilities:

Assisting the Financial Advisor in managing the branch office to exceed client and regulatory expectations include but are not limited to:
  • Manage daily office operations, including answering phones, responding to emails, and greeting clients
  • Assist with scheduling appointments, maintaining calendars, and coordinating meetings
  • Prepare and organize documents, reports, and presentations for client meetings and team discussions
  • Document office systems and processes
  • Maintain accurate client records and ensure data is updated in our management systems
  • Support the team with research and preparation of financial planning materials
  • Handle general office tasks, such as filling, scanning, and managing office supplies
  • Collaborate with team members to improve process and enhance client service

Salary:
  • $18/hr-$20/hr based on experience

Hours:
  • Monday - Thursday: 8:30 am - 5:30 pm
  • Friday: 8:30 am -3:30 pm
  • Occasional evenings and weekends may be required for events with flexed time off during the week or day of event
