The School of Humanities and Sciences (H&S) is the center of a world-class liberal arts education at Stanford University. The largest school encompassing the humanities, arts, social sciences, and natural sciences, H&S has 23 departments and 28 interdisciplinary programs, and it is the university's home for fundamental and applied research. In addition, the school is the locus of several collaborative university-wide long-range vision initiatives.
The H&S External Relations team is fully integrated into the Office of Development and is focused on taking a donor-centered approach to raising gifts in support of core school priorities.
Position Summary:

We seek experienced candidates to join the H&S Development team as the Executive Assistant to the Associate Dean for External Relations and Director of Individual Giving. The ideal candidate for this position has a strong belief in the importance of philanthropy and is willing to jump in and learn new processes and systems. The Executive Assistant will provide day-to-day support to the Associate Dean for External Relations and the Director of Individual Giving in their work with university donors and volunteers. The role requires collaborating with a wide cross-section of colleagues across the office of development and the university more broadly. This position reports to the Senior Associate Director for Development Programs and is part of the H&S External Relations operations team.
In this role you will:

    Manage complex calendaring needs with limited or no consultation, resolve calendaring conflictsNegotiate and manage the needs of individuals or groups requesting time with leadership, independently committing his/her time.Act independently by establishing priorities and identifying and resolving problems that are administrative in nature. Use independent judgment to keep leadership informed of all matters that require his/her attention.Help manage tasks and workflow to ensure efficient and timely delivery of work productServe as the liaison to various internal and external constituencies, including screening correspondence and telephone calls; keep leadership informed of all matters requiring his/her attention.Independently prioritize, plan, coordinate and/or oversee logistics and conferences with individuals and entities internal and external to the university, including executive and senior level staff.Compose correspondence; develop, review, and edit briefings, presentations, and documents; ability to adapt writing style and to craft clear, compelling reports that accurately reflect the voice, tone, and style of the individual you're writing on behalf of.Independently research and analyze associated issues and/or compile materials as needed.Manage complex business travel, purchases, and financial transactions in compliance with unit, university, and sponsor policies. Create complex reports and spreadsheets which may utilize specialized software and systems.Manage multiple projects simultaneously. Anticipate and track dates, events, and associated action items; follow up with appropriate parties on behalf of leaders to ensure deadlines are met.Demonstrate a commitment to promoting and supporting an environment of diversity and inclusion.

To be successful in this position, you will bring:
Education & Experience:

High school diploma and five years of relevant experience or combination of education and relevant experience. In addition, preferred qualifications include 1 to 2 years of experience supporting C-Suite level executive(s).
Knowledge, Skills and Abilities:
    Demonstrated high-level administrative experience which includes advanced computer skills and demonstrated experience with office software and email applications. Excellent verbal and written communication skills, including editing and proofreading.Excellent planning and organizational skills.Quick thinker and learnerProblem solver with a proactive approach.Ability to take initiative and ownership of projects.Demonstrated ability to handle sensitive issues and maintain confidentiality.Demonstrated ability to perform duties with a high level of professionalism, flexibility, discretion, judgment, diplomacy and tact.Ability to multitask, adapt to changing priorities and meet deadlines.
The expected pay range for this position is $42.79 - $48.81 per hour.Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.At Stanford University, base pay represents only one aspect of the comprehensive rewards package.
