Position Summary:

Florida Atlantic University is seeking a Counseling & Psychological Services Specialist. - Jupiter, FL.



Summary of responsibilities:




  • Manage all aspects of CAPS front desk and clinical support functions, which involve an EHR and associated processes and procedures.




  • Greet clients upon arrival, check appointment status, verify eligibility, complete check-in/checkout procedures, and verify that confidential documents are updated in EHR. Maintain confidentiality of medical records and students' personal health information at all times. Answer in-person inquiries.




  • Collaborate with partner campus teams to answer all telephone inquiries and liaise with FAU students, clients, faculty, and staff internal and external to CAPS and the larger community.




  • Operate scanning equipment to process clients' documents.




  • File documents as necessary. Send electronic documents and upload documents for EHR. Schedule student appointments as necessary. Maintain client appointment system with accuracy, appointments which are highly confidential in nature.




  • Answer telephone inquiries and liaise with FAU students, clients, faculty, and staff internal and external to CAPS and larger community.




  • Interact and communicate effectively with students, clients, clinicians, staff, faculty, and administrators, verbally and in written communications.




  • Maintain up-to-date inventory and stocking of health promotion materials. Oversee office orders of supplies and promotional materials. Open purchase orders and submit invoices per university and divisional purchasing policies.




  • Work with clinical staff to manage data tracking of office programs and services (including events, workshops, and health promotion materials.)




  • Perform any other duties as needed for the smooth operation of the office. Must comply with federal, state, and university regulations and statutes, as well as internal policies and procedures.




  • Work to foster and maintain a collaborative, engaging, and positive work environment for all students and staff. Participates in assessment, accreditation, quality improvement, and regulatory compliance.




  • Participate in activities, both internal and external to CAPS to champion the health of the college student population, advance the mission of CAPS, and support the missions of the Division of Student Affairs & Enrollment Management and Florida Atlantic University.

Minimum Qualifications:A high school diploma and five years of appropriate experience required. Appropriate college
coursework or vocational/technical training may substitute at an equivalent rate for the
required experience.


Ability to organize and handle multiple tasks to accomplish goals in a timely manner.


Ability to work effectively and courteously with students, visitors and staff who may be experiencing high levels of distress.


Strong interpersonal skills.


Proficiency in Microsoft Word and Outlook.


Strong computer skills.




Preferred Skills/Qualifications:
Experience working with electronic health records in a medical setting.
Salary:$17.79 - $19.27 per hour.

Location:John D. MacArthur Campus - Jupiter
Work Days and Hours:Monday - Friday, 8 a.m. - 5 p.m. Varies with some evenings and weekends.
