Description:

We are seeking a highly organized, proactive, and customer-focused Sales Admin Assistant to join our dynamic team. This role is responsible for providing administrative support to our sales team, ensuring a seamless customer experience, and contributing to the growth of our business. The ideal candidate will be proficient in Microsoft Office, Google Suite, and preferably QuickBooks, possess excellent phone etiquette, and have a strong understanding of administrative tasks. A proactive attitude and the ability to anticipate needs and take initiative are essential for success in this role. This is a Part-Time 25 hours per week.

· Create, review and manage purchase orders to ensure accuracy and compliance with company policy.

· Daily monitor scheduling calendar and ensure a timely ATP/or purchase order received from customer to proceed with issuing job number.

· Address any discrepancies or issues related to purchase orders, including delivery delays and service concerns.

· Collaborate with customers and internal departments to resolve Purchase order issues promptly.

· Maintain accurate records of purchasing orders and related documentation.

· Work closing with finance, operations, sales to ensure alignment in procurement processes.

· Provide exceptional customer service via phone and email, responding promptly to inquiries and resolving customer issues.

· Proactively assist the sales team with administrative tasks, such as data entry, document preparation, and document control.

· Maintain accurate and up-to-date records and reports using administrative software and tools.

· Demonstrate strong time management skills, prioritizing tasks effectively to meet deadlines.

· Other duties as assigned.


Requirements:


· Required Education: Associate degree or Equivalent Combination of Relevant Education & Experience

· 5-7 years of relevant experience

· Ability to work as part of a team. Decision-making skills. Oral and written communication skills. Analytical thinking skills. Detail oriented. Ability to meet deadlines. Prioritize and multitask.

· Proficient with use of Microsoft Office suite, Dropbox, Salesforce, Outlook, QuickBooks

· Strong administrative background, with experience in an office setting.

· Ability to work in a fast-paced environment and maintain a positive attitude.

Physical Demands

· Exposure to prolonged periods of sitting and keyboard input

· Adequate hearing & vision ability.

· Proper heat/cold tolerance, working in all weather conditions.

· Must be able to swim.
