The Administrative Specialist II for the Hanford Mobile Crisis provides essential administrative support to program managers overseeing crisis response initiatives. This role involves managing schedules, attending county meetings, taking detailed notes, and ensuring efficient administrative operations to support the crisis programs.

How will I contribute
Provide comprehensive administrative support for crisis programs. Manage calendars, schedule appointments, and coordinate meetings. Prepare and organize documents, reports, and presentations as needed. Attend county meetings and other relevant gatherings to represent the Hanford Mobile Crisis. Take detailed and accurate notes during meetings, capturing key points, decisions, and action items. Distribute meeting notes and follow up on action items to ensure timely completion. Serve as a liaison between program managers, mobile crisis team members, and external stakeholders. Facilitate communication by drafting emails, memos, and other correspondence. Ensure timely dissemination of information to relevant parties. Maintain organized records and files for the crisis programs, ensuring all documentation is up-to-date, accurate, and easily accessible. Assist with the preparation of reports and compliance documentation. Coordinate logistics for mobile crisis team activities, including travel arrangements and event planning. Facilitate the onboarding process for new employees, including orientation and initial training, ensuring all necessary documentation and credentials are completed and submitted. Coordinate with IT for the setup and distribution of hardware and other essential resources. Maintain training records and ensure all employees are current with required courses. Develop and maintain a comprehensive tracker for all administrative tasks to ensure nothing is overlooked. Organize and manage project management activities, including tracking the status of ongoing projects and documenting completed tasks. Provide support in planning and executing future projects. Assist in budget tracking and expense reporting for program-related activities. Help plan and execute crisis response training sessions and workshops. Support the development and implementation of program initiatives and projects. Assist with fleet management. May encounter risk of working with persons with SMI (serious mental illness) that may include, but not limited to persons in mental health crisis, persons that may be intoxicated or impaired by drugs or alcohol, persons who may be DTO (danger to others), DTS (Danger to Self), or GD (Gravely Disabled). If such situations arise, staff will be required to call local emergency personnel to help deescalate the crisis, use crisis intervention techniques, and consult with supervisor as soon as practically possible. Perform other duties as assigned to support the overall functioning and success of the program.

What I bring
High School Diploma (or Equivalent) 2 years of administrative experience, with at least 1 years in a similar role, preferably in a healthcare or behavioral health setting. Class C Driving License Experience with minute-taking and meeting coordination. Knowledge of Smart Care. Excellent organizational and multitasking skills. Strong written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to maintain confidentiality and handle sensitive information. Strong interpersonal skills and ability to work collaboratively with diverse teams. Detail-oriented and able to work independently with minimal supervision. College degree in a related field, Bilingual English/Spanish preferred.
