This position will be responsible for all on site Reservations daily & monthly tasks for both Group and Business Transient and manage all other related Reservation Duties. Position supports the Sales Department, and assists with answering and routing phone calls & leads. Serves as Social Media Champion. Supports the DOSM in hotel related marketing efforts that include, Social Media. Works in conjunction with the Director of Sales and Marketing & FMM on design and production of planned marketing programs.
Job Description
DUTIES AND RESPONSIBILITIES:
Process all group reservation requests, changes and cancellations received by phone, fax, e-mail, mail, internally and through travel planners/corporations. Enter and/or modify group block in system to ensure inventory, stay dates, cancellation policy, deposit requirement, and booking procedure are reflected correctly.
Enter all rooming lists and set up billing.
Balance inventory daily.
Coordinate with Front Desk Supervisor/Man on blocking of any VIP's or Suites
Run Daily Transaction report from FDC
Work with DOSM in daily Advertising needs/approvals/design concepts/deadlines and liaison with the Ad Agency.
Works with DOSM and FMM on Social Media plans daily, weekly & monthly basis to ensure plans are implemented as planned for Hotel with daily promotions as needed
Work in conjunction with DOSM and Field Marketing Manager to monitors website and online promotions-keeping all current
Supports DOSM in all areas as requested
Ensure proper marketing materials are displayed throughout the hotel. Example: table top tents in Art Bar, Sandwich Board in Art Bar.
Run weekly pick up reports from Opera.
Attend weekly pick up meeting and adjust blocks accordingly.
Manage internal Blogger and Media Influencers - requests will need to be vetted by FMM & approval by GM
Meets with DOSM bi-weekly to discuss current & future marketing projects to include event planning both internally and externally.
Act as Social Media Hotel Champion Facebook/Instagram - postings - follow guidelines set forth by Corporate.
Promote Art Bar Happy Hour parties through e-blast and direct solicitation.
Work in conjunction with FMM & DOSM - Maintain and update, C-vent, PCVB, GPTMC and other websites that contained detailed hotel information and photos.
Monthly eblast for Hotel as directed by DOSM
Assists with eblasts with Sales Team.
Special Projects as assigned by DOSM
Send monthly Commission Report from FDC to Controller & cc DOSM.
Complete monthly group commissions & submit for approval & processing
Maintains updates to e-mail database, as needed.
Update Image Library, as needed, with latest photos.
Update on Hold Media - quarterly/seasonally
Serve as Delphi Administrator.
Research daily activity during times of discrepancies; report discrepancies immediately and record actions taken.
Must be aware of all upgrades, new information and/or procedures put into effect by Delphi, and the Property Management Systems.
Other duties may be assigned.
QUALIFICATIONS AND REQUIREMENTS:
Bachelor's degree (B. A.) from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
2+ years hotel experience required
Must be proficient in Delphi, OPERA Database software and Microsoft Office programs such as Outlook, Word and EXCEL.
Must speak English fluently.
Communication skills, verbal and written, are utilized a significant amount of time when interacting with others; demonstrated ability to interact with guests, employees and third parties that reflects highly on the hotel, the brand and the Company.
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry are required.
Problem solving, reasoning, motivating and organizational abilities are used often.
