Job Description:

We are seeking a highly organized and tech-savvy Administrative Assistant to support the Senior Vice President (SVP) Controller in our finance department. The ideal candidate will have strong communication skills, a proactive mindset, and the ability to manage multiple tasks in a fast-paced, global environment. This role is essential in ensuring the seamless operation of the finance team and the broader organization.

 

ROLE RESPONSIBILITIES

 

  • Administrative Support: Provide comprehensive administrative support to the SVP Controller, including calendar management, scheduling meetings, and coordinating travel arrangements
  • Communication: Act as a liaison between the SVP Controller and internal/external stakeholders. Prepare, review, and edit correspondence, reports, and presentations
  • Meeting Coordination: Organize and prepare materials for meetings, including agendas, presentations, and minutes. Track action items and deadlines, ensuring timely follow-up
  • Data Management: Maintain and organize financial documents and reports. Utilize data visualization tools to assist in data entry, analysis, and the creation of compelling financial presentations
  • Project Assistance: Support special projects and initiatives within the finance department, ensuring efficient execution and adherence to timelines
  • Tech Savviness: Leverage collaboration tools (e.g. Microsoft Teams) and project management software to enhance team communication and productivity
  • Confidentiality: Handle sensitive information with discretion and maintain confidentiality regarding financial and personnel matters
  • Office Management: Assist in the coordination of office operations, including supplies management and facility requests

 

BASIC QUALIFICATIONS

 

  • Bachelor's degree in business administration, finance, or a related field preferred
  • 3+ years of administrative experience, preferably in a finance or corporate environment
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and familiarity with financial software (e.g., ERP systems)
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively
  • Excellent verbal and written communication skills
  • Ability to work independently and collaboratively within a diverse team
  • Detail-oriented with a focus on accuracy and quality
  • Adaptability to changing technologies and a willingness to learn new tools and processes

The salary for this position ranges from $31.99 to $53.31 per hour. In addition, this position offers eligibility for overtime, weekend, holiday and other pay premiums depending on the work schedule and the Company's policies.
