What We Are Looking For:

Dedicated professional to provide project coordination and administrative assistance to the Utility System Planning & Services Studies Department, Vice President, Practice Area Managers, and Project Managers.

What You Will Be Doing:

  • Under minimal supervision and direction, arranges appointments; prepares meeting minutes, memos, letters, reports, proposals, charts, contracts, etc.
  • Assist with the preparation and submission of technical proposals in response to Request for Proposals (RFPs)
  • Assist with technical reports, including proofreading, editing, formatting, printing, assembly, and submission to the client. Attention to detail is a key component of these tasks.
  • Assist with the preparation of construction bid packages and contracts.
  • Assist with project cost and progress tracking to meet budgets and deadlines.
  • Work with the Operations Department and project managers to prepare all monthly invoicing.
  • Work with the Operations Department on office-related activities.
  • Coordinate and prepare information for project or internal department meetings, participate in meetings, and record meeting minutes.
  • Work on various internal administrative tasks, such as approving expense reimbursements, assisting with travel arrangements, coordinating intranet updates, and other administrative tasks as necessary.
  • Coordinate meetings, including external coordination with venues and internal coordination with attendees.
  • Collaborate with other PSE team members to improve our efficiencies and work product and with other project coordinators to create tools and processes to improve work product, workload, and resource planning.
  • Assist in marketing and business development efforts.
  • Assist with planning study report preparation, including Word documents, spreadsheets, tables, graphs, etc.

What You Will Need:

Education and Experience

  • Bachelor’s degree preferred. Associate’s degree in technical writing, editing, administrative assistance, or a related field will be considered. Preference will be given to individuals with a technical degree.
  • 2+ years relevant experience, preferably with a professional services firm.

Knowledge and Skills

  • Highly organized, detail-oriented, and able to work independently.
  • Advanced knowledge of the Microsoft Office Suite (Word, Excel, and PowerPoint)
  • Excellent communication skills
  • Strong teamwork and people skills.
  • Ability to multi-task, prioritize workload, problem-solve and meet deadlines.
  • Entrepreneurial and willing to dive into technical aspects of renewable energy projects.
  • Proficiency with Microsoft Project a plus.
