Governors State University is seeking to hire a Graduate Funding and Outreach Coordinator for the College of Graduate Studies to organize work related to funding of graduate students and graduate programs and the College of Graduate Studies; perform outreach to prospective and current graduate students, alumni, and potential employers, including Graduate Advisory Board members; and oversee graduate student training and development including graduate student orientations, onboarding of graduate assistants, and professional development for graduate students. Skillful communication with and management of personnel is an essential component of the role. The Coordinator will provide vision and leadership during development and implementation of a marketing plan for Graduate Studies at GovState. The Graduate Funding and Outreach Coordinator reports to the Dean of the College of Graduate Studies.

Essential Responsibilities


40% Outreach activities:
1. Works with MarComm, the Director of Graduate Admissions and Recruitment, and graduate programs on development and implementation of a marketing plan for Graduate Studies. This work will include the following components:
- Survey of all graduate programs to identify marketing activities occurring
- Identification of key marketing components that should be in place for all
graduate programs, and implementation of components as needed
- Strategic planning to identify general graduate disciplines or specific graduate programs to receive additional resources for marketing and outreach
- Work with MarComm, external vendor(s) to include consistent messaging to
prospective students on newly designed websites for graduate programs
- Work with various GovState offices and personnel to ensure that various
marketing tools (e.g., Slate, website messaging and information requests, other forms of communication to prospective students) work seamlessly with each other
2. Works with the Dean of the College of Graduate Studies to communicate with prospective and current Graduate Advisory Board members.
3. Generally, coordinates communication with Graduate Advisory Board members, plans Graduate Advisory Board meetings and other activities.
4. Works with the GovState Foundation, the Graduate Advisory Board, and graduate programs to maintain communication with graduate alumni, and to plan activities involving alumni such as visits to graduate classes.
5. Works with the Dean of the College of Graduate Studies and MarComm to issue periodic College updates via email, and a College of Graduate Studies Annual Report.
6. Develops and administers assessment tools such as surveys as needed.
7. Represents Graduate Advising at meetings at GovState and externally as needed.



30% Coordination of graduate assistantships, other forms of funding to graduate students and graduate programs:
1. Works with graduate programs, the Director of Graduate Admissions and Retention, and the Career Services Office to recruit students for graduate assistantships.
2. Oversees graduate assistantship application process and facilitates consistent pay for graduate assistants.
3. Works with the Office of Sponsored Programs and Research to identify and promote additional sources of funding for graduate students, such as grants, fellowships, or research assistantships.
4. Works with the Office of Sponsored Programs and Research to identify and promote sources of funding for graduate programs and for the College of Graduate Studies.
5. Works with the Office of Sponsored Programs and Research to provide training and support for graduate students and graduate faculty applying for external funding.
6. Coordinates preparation and submission of proposals for external funding to the College of Graduate Studies.
7. Works with Institutional Review Board (IRB) personnel to offer training and support to graduate students preparing and submitting IRB proposals for their graduate research projects.



25% Graduate student training, development:
1. Works with graduate programs, graduate advisors to plan and host graduate student orientations at least annually before start of Fall semester.
2. Plan and run onboarding training sessions for all incoming graduate assistants.
3. Plan and host periodic professional development workshops for graduate students.



5% Other duties as assigned.



Starting Salary: $59,811.38.
(This is a non-unionized position. Salary starts at the base and is determined based on Education and Experience exceeding the minimum qualifications).

Required and Preferred Qualifications



Minimum Requirements:



  1. Master's degree in higher education, college student development, human services, counseling, or a related field.

  2. At least five (5) years of experience in recruitment, outreach, or training and professional development, or a combination of experience in more than one of forementioned areas.

  3. Experience in university student recruitment.

  4. Experience working successfully with diverse populations; able to demonstrate an understanding of, sensitivity to, and appreciation for academic, ethnic, socio-economic, disability, age, and gender diversity of students and staff attending or working at GovState.



Desired Education and Experience:


  • Prior experience with recruiting, marketing, or outreach activities.

  • Prior experience with successful grant procurement and administration.
