Crush Studio is a design and production agency dedicated to the art of experiential events. We love telling stories through experiential design and strive to produce interiors, environments and events that are both beautiful and engaging! We are a woman-owned and women-led team known for our creativity, use of color and materials, and our stylish install outfits!

As Project Manager you will be responsible for the day-to-day management of the project structure, client communications and overall success of our projects.

The ideal candidate will be solutions-oriented, energetic, positive and confident, and exude determination, resourcefulness and fastidious attention to detail. This role will require the ability to manage multiple projects while precisely and accurately tracking all moving parts from pre-production through post-production.

This is a full-time in-person role at our office near downtown Denver, with remote work/work from home on most Mondays and Fridays.

ROLE-SPECIFIC QUALIFICATIONS

  • Exceptional communication skills and ability to manage needs from multiple stakeholders, including clients, internal and external teams.
  • At least 3 years of experience in a related role within the design, production or event industries and a general interest in creative fields-arts, event design, interior design.
  • A disciplined, systematic, and determined approach to work, with strong accountability for meeting deadlines and budgets.
  • Experience managing complex $100K+ budgets.
  • Strong organizational skills with the ability to multitask and manage multiple projects efficiently and a general interest in process development.
  • Ability to react in a solution-oriented manner when problems arise, creating backup plans with a bright and creative approach.
  • PMI Certification is a plus!

Salary & Benefits
This role has flexible workday hours between 8 am-6 pm at our studio close to downtown Denver. This position is based in the office, with flexibility for working from/home alternating Mondays and most Fridays. The salary range for this position is 70,000-80,000 dollars.

  • PAID TIME OFF
    • 10 paid holidays, plus soft close during the holiday break
    • 15 days per year to start, with a day added for each year of service (up to 20 days)

ROLE-SPECIFIC RESPONSIBILITIES
The Project Manager will lead the team in process flow and communications on high-profile projects, ensuring that they align with client needs, project goals, and successful outcomes. The responsibilities of this role include, but are not limited to:

  • Day-to-day client communications lead. Acts as the "squeaky wheel" with both the internal and external team and client/partner teams: reinforcing process, nudging process along, following up and clarifying roles, responsibilities and next steps.
  • Serve as the primary point of contact for clients, addressing concerns promptly and in a solution-oriented manner. Provide regular status updates.
  • Effectively communicate delays or budgetary concerns.
  • Travel to site checks and project installations - leading client comms on-site, and communicating expectations of event day involvement.
  • Develop project strategies that optimize guest and client experiences.
  • Identify key performance indicators to demonstrate project value, the "why" behind what we do.
  • Work to understand and elevate brand strategy initiatives.
  • Manage multiple projects simultaneously, staying rigorous and consistent in the approach to each project's unique needs and timelines.
  • Communicates client priorities and notes to the team.
  • Go-to accountability partner for clarity and project alignment, coordinating questions and insights.
  • Present feedback in a constructive format.
  • Ensures project deliverables address client direction.
  • Record meeting notes, and keep client initiatives top of mind in internal reviews. When appropriate, lead a Wrap Up at the end of client calls to
  • summarize action items and next steps.
  • Assist Prodution and Design teams in researching and solve complex logistical challenges.
  • Review all deliverables to ensure all logos and artwork adhere to brand standards. (Thoroughly reviews brand guidelines).\
  • Creates and manages key project plans including the Project Brief, Hot Sheet, Timeline, Budget, SOW, Team Calendars and Asana board.
  • Contribute to the development of new processes, methodologies and innovations that enhance project efficiencies and outcomes.
  • Provide historical context for year-over-year projects, organizing information in a way that helps Crush level up at each event.
  • Project administrative operations which includes: processing invoice requests, processing COI requests, developing the Scope of Work and Master Service Agreements.
  • Hits target dates for internal documentation of agreements
  • Processes any event-related paperwork for particular events including: credential requests, labor and union requests, drayage forms, etc . Coordination with event liaison as needed.
  • Organization and documentation of agreements, in conjunction with Finance Team.

CRUSH GENERAL RESPONSIBILITIES (ALL ROLES)

  • General production hands-on work during project installs. Tasks include cleaning, sweeping, moving things, tidying, organizing, hanging, zip-tying, gaff taping, cord management, fluffing pillows, steaming/ironing and moving furniture.
  • Assist with event packing, unloading and reloading, and the organization of event materials as needed during install and strike processes.
  • Some travel will be required, estimated to be every 6 to 8 weeks, which will include weekends and more untraditional hours, including some overnight installs. Crush will do its best to accommodate personal schedules and needs in scheduling and planning.
  • Timesheet tracking - tracking hours spent on projects in order for studio-wide project analysis.
  • Credit card coding - accurately tracking expenses via AirTable and providing receipts for IRS documentation.
