Job Description:

We are seeking a dynamic and proactive Office Manager to join our team. In this multifaceted role, you will be responsible for assisting with the relocation process for new employees and their families as they transition to life in Miami. You will coordinate travel and accommodation arrangements, manage office operations, and organize company events. The ideal candidate will have excellent organizational skills, the ability to multitask, and a customer service-oriented mindset.

What you will do -

Office Management:
  • Oversee daily office operations, ensuring the office runs smoothly and efficiently.
  • Manage office supplies, equipment, and vendor relationships.
  • Run errands and handle miscellaneous tasks to support the office and employees.

Relocation Support:
  • Coordinate travel, accommodation, and transportation for new employees and their families moving to Miami.
  • Assist with settling in new hires by providing information on local services, schools, and neighbourhoods.
  • Help new employees and their families navigate the transition to life in Miami, offering support as needed.

Event Coordination:
  • Plan and execute company events, team-building activities, and meetings.
  • Arrange catering, venues, and logistics for corporate events and functions.

Travel & Itinerary Management:
  • Coordinate travel arrangements for employees, including booking flights, hotels, and transportation.
  • Prepare detailed itineraries and ensure all travel plans are aligned with company schedules and budgets.

General Support:
  • Provide personal assistance to senior management as needed.
  • Offer support with various administrative tasks, such as managing calendars, scheduling meetings, and preparing reports.
  • Act as a point of contact for employees, addressing any questions or concerns related to relocation or office needs.

Driving Requirements:
  • Must be willing and able to drive regularly to run errands, transport supplies, and assist with employee relocations.
  • A valid driver's license and a clean driving record are required.
  • Must have reliable transportation.
  • Demonstrated experience as a responsible and safe driver, with knowledge of Miami and surrounding areas being a plus.

  • Proven experience in a similar role, preferably in relocation, office management, or administrative support.
  • Excellent organizational and multitasking abilities.
  • Strong interpersonal and communication skills.
  • Ability to work independently, show initiative, and make decisions.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Must be a proactive problem-solver with the ability to adapt to changing needs.
