KOMPAN US is in search of a skilled Design Department Coordinator to join our team, ensuring clear, accurate, and expedient communication and delivery of design assets between the design department and other departments with a primary emphasis on requests from sales.
They will ensure all new staff understands how to collaborate with the design department through various KOMPAN case management systems and software, helping every project team meet KOMPAN's mission of helping to create "Happier, Healthier Communities".
This position will collaborate closely with other departments in back office roles such as Pre-Sales, Project Sales Coordination, Project Coordination, and Install, as well as on-site colleagues working in the field such as Project Managers and Sales Representatives.

What You'll Do
Vet all CRM cases for correct and necessary information before releasing to design groups
Be familiar with case management systems and software with preference for Microsoft Dynamics Customer Relationship Management (CRM)
Contact sales and other departments to get the necessary information and update case requests as necessary
File opportunities and cases in CRM system based on external partner email design requests
Manage ongoing and new cases for designers who are unavailable, rerouting them to available design staff
Innovate upon pre-existing workflows, processes, standards, and templates
Excellent internal/external customer relations
Demonstrate excellent organizational skills with a keen eye for detail
Ability to make subjective decisions regarding subject matter and project
Administration of requests and deadlines & time frames among markets, designers and production team
Responsibility for ensuring SLA (Service Level Agreement) is maintained and managed in all markets
Manage time and resources in NA Design Department
Follow up on deliveries with designers
Attend department and project team meetings as needed
Provide backlog overview, update and report
Take part in process development
All other duties as assigned
What You'll Need
A bachelor's degree or greater in an applicable field
Experience with case management systems and software with preference for Microsoft Dynamics Customer Relationship Management (CRM)
Proficiency in navigating a pipeline that encompasses various stages and employs multiple software applications that all need to shake hands
Experience in interpreting site plans, ensuring accuracy in scale, and comprehending topographical features
Ability to work effectively, both independently and in a team environment to meet deadlines and visual expectations
Strong communication and organizational skills with the ability to manage multiple projects at once
Strong time management skills
Experience working with clients preferred
Experience working in the Architecture and Landscape Architecture industries preferred
This position is based in Austin, TX with a hybrid working model
