POSITION SUMMARY

The Administrative Staff position is responsible for providing high-level administrative support to the Executive Director in their respective sales/programming areas.

Reports To: Executive Director

ESSENTIAL FUNCTIONS

Responsible for wide range of support focusing on increasing investments and lay leadership involvement including but not limited to:
• Maintain and organize executive calendars, schedule appointments, coordinate meetings, and ensure timely reminders.
• Serve as the primary point of contact for internal and external stakeholders, screening and directing phone calls, emails, and correspondence appropriately.
• Coordinate travel itineraries, including flight bookings, hotel accommodations, transportation, and visa arrangements, ensuring seamless travel experiences for executives.
• Arrange and prepare materials for meetings, conferences, and presentations, including agendas, documents, and presentations. Record meeting minutes and follow up on action items as needed.
• Handle administrative tasks such as expense reports, document preparation, filing, data entry, and maintaining organized electronic and physical filing systems.
• Daily communications with investors
• Handle sensitive information with discretion and confidentiality, always maintaining a high level of professionalism and integrity.
• Assist in special projects, research, and other tasks as assigned by executives, contributing to the overall efficiency and success of the organization.
• Build and maintain positive relationships with internal teams, external partners, clients, and vendors, acting as a liaison on behalf of the executives.
• Maintain accurate customer records in Salesforce

OTHER DUTIES

Such other duties as directed by the Executive Director as they deem appropriate and necessary to meet the needs of the organization.

KNOWLEDGE, SKILLS, EXPERIENCE & LICENSING REQUIREMENTS
• Bachelor's degree in business administration, office management, or related field preferred.
• Minimum of 5 years office experience in an administrative environment.
• Self-starter, demonstrates initiative and ownership of responsibilities.
• Strong organizational, administrative, and time-management skills.
• Ability to manage multiple projects simultaneously and work well under pressure.
• Highly motivated, must be a team player and adapt when challenges arise.
• Strong oral and written communication skills
• Proficiency in Microsoft Word, Excel, Outlook, and other relevant software applications
• Ability to learn and use Salesforce proficiently and other new systems as they are introduced.

SUPERVISORY RESPONSIBILITY

This position has no supervisory responsibilities.

WORK ENVIRONMENT

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, telephones, photocopiers, filing cabinets and fax machines.

PHYSICAL DEMANDS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

This is largely a sedentary role; however this position requires constant communication and the ability to exchange accurate information, the ability to operate a computer and other office equipment, lift files, open filing cabinets and bend or stand as necessary.

POSITION TYPE/EXPECTED HOURS OF WORK

This is a full-time position. The hours of work are Monday through Friday, 9:00 a.m. to 5:00 p.m., 35 hours per week. Work extended/evening hours, weekends, and holidays when needed.

TRAVEL

Minimal travel is expected for this position.

SECURITY CLEARANCE

Must successfully pass background check and fingerprinting.
