Responsibilities
Key Responsibilities
Provide support to the executive staff
Administrative support may include but is not limited to
Assist with coordinating meetings/events
Expenses and invoices
Scheduling and tracking travel
Calendars
Phone calls and follow-ups with internal and external parties and stakeholders
Creating, sending, and editing letters, documents, excel workbooks, presentations
Assist with office maintenance and upkeep
Copies, letters,fed-ex, filing
Serve as backup for other office support staff (receptionist, CEO assistant, etc.)
Other duties as assigned
Required Skills and Experience
Commitment to quality and excellence of staff work; exceptional attention to detail and highly organized; accuracy in work
Track record of prioritizing tasks and meeting deadlines; a sense of urgency
Expert skills in Microsoft Outlook, PowerPoint, Excel, and Word
Experience in expense reporting
Experience with general technology tools such as iPhone, texting, social media, and generative AI
Proficient in coordinating team events, meetings, zoom, conference calls, SharePoint, Microsoft Teams, and Web-ex
Excellent verbal and written communication skills, with solid interpersonal skills
Able to maintain confidentiality with a high degree of professionalism
Able to communicate and interact with all levels within and outside the organization
Able to work in a fast-paced environment; must be a quick learner
Mentally strong with a sense of ownership and accountability
Critical thinking and problem-solving skills; follows through and follows up
Reliable with a track record of good attendance
Education and Background
Bachelor's degree or equivalent years of experience required
Minimum of 6 years of executive support experience required
Must be a U.S. Person; Valid Driver's license required
Pass a comprehensive background and reference check
