Job Summary: The Administrative Assistant will provide comprehensive administrative support to ensure the efficient operation of the office. This role involves handling a wide range of administrative tasks and supporting senior management. The ideal candidate is resourceful, a good problem solver, and highly organized. Key Responsibilities:
Manage and coordinate daily office activities and operations to ensure efficiency and compliance with company policies.
Answer and direct phone calls, emails, and other forms of correspondence.
Organize and schedule meetings, appointments, and travel arrangements for senior management.
Prepare and distribute agendas, meeting minutes, and other relevant documents.
Maintain a systematic filing system for documents, both physical and digital.
Handle administrative requests and queries from senior managers.
Assist in the preparation of regularly scheduled reports.
Develop and maintain a contact list.
Order office supplies and research new deals and suppliers.
Maintain office policies and procedures.
Provide general support to visitors.
Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
Assist in various projects and other tasks as assigned by management.
Qualifications:
High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary will be a plus.
Proven experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant.
Knowledge of office management systems and procedures.
Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
Excellent time management skills and the ability to prioritize work.
Attention to detail and problem-solving skills.
Excellent written and verbal communication skills.
Strong organizational skills with the ability to multi-task.
Ability to work independently and as part of a team.
