Job Description:

The Benefits Coordinator will play a crucial role in the consulting and managing of ASO client employee benefit programs. The Benefits Coordinator provides expert guidance, support, and problem solving to both ASO employees and client management, ensuring effective communication and ensuring timely benefit plan administration and compliance. The Benefits Coordinator will research, analyze, and assist with the development of ASO client benefit strategies, programs, and policies. This role will also collaborate with the Benefit Assistant to ensure timely completion of various administrative support task.

Position Results:

1. Client benefit plans and administration are aligned with the ASO client company's strategic initiatives.
  • Provide benefits information and recommendations to the ASO client management team related to potential benefit risks or rewards
  • Regularly review ASO client's benefit plans and costs to recommend future changes that could increase revenue or decrease cost/risk.
  • Collaborate, implement, analyze, and provide recommendations to improve benefits processes to ensure plan and legal compliance. Processes include, but are not limited to: 401(k) administration, benefits compliance, benefits administration, COBRA administration, leaves of absence, FMLA, Open Enrollment, Workers' Compensation claims management, and benefit communications.
  • Ensure the client benefit programs are compliant with relevant local, state, and federal laws and contract requirements and share knowledge accordingly.
  • Stay current on benefits best practices, trends and share knowledge accordingly.
  • Collaborate with TEG management team member(s) on client issues that pose a risk to the client and/or TEG before making recommendations.

2. Communication about ASO client benefits is timely and accurate.
  • Inform clients of standard benefits compliance and ensure they are meeting those requirements.
  • Open Enrollment communication is accurate, clear, and timely.
  • Stay current with the clients benefit programs and answer benefit questions in a timely and accurate fashion.
  • Client management system is current with benefit-related client interactions, updated contact information, and correspondence.

3. Provide quality support to the PEO Open Enrollment process.
  • Assist the Senior Benefits Manager with full open enrollment process, including but not limited to ensuring upcoming benefit plan information is shared internally and externally, developing benefit cost sheets and rate sheets, processing benefit elections/changes/terminations, drafting communications/presentations, and tracking Open Enrollment activities.
  • Act as a resource to internal staff for open enrollment questions and issues.

4. Benefits Administration is accurate and timely.
  • Create and revise benefit department policies and procedures on a yearly basis and/or when required.
  • Ensure benefit enrollments, changes, and terminations are completed timely and accurately with the assistance of the Benefit Assistant.
  • Ensure FMLA, COBRA and leaves of absence are administered according to regulations and in a fair and equitable manner.
  • Ensure timely completion of all benefit compliance reporting.
  • Resolve any payroll/benefits discrepancies by partnering with TEG payroll and HR team members.
  • Assist clients in navigating and responding to workers' comp claims.
  • Work with the Benefits Assistant to ensure timely completion of various administrative support task, such as benefit changes, monthly bill auditing, and status changes.

5. Provide accurate and up-to-date benefits information to employees, clients, and TEG staff.
  • Stay current on client benefit programs and answer questions from clients, co-employees and TEG staff in a timely and effective fashion. Triage requests for more complicated needs/information to the Senior Benefits Manager.
  • Respond to benefit issues utilizing available resources and collaborating with the Senior Benefits Manager, other staff and/or management to determine best response to the issue.

6. Sales and new client onboarding efforts meet client expectations.
  • Play an important role during the sales process by providing benefit comparisons, identifying potential risks associated with the prospect's benefits needs, and answering the prospect's questions about TEG's plan design, costs, or administration.
  • Actively participate in the client onboarding process to ensure smooth transition to TEG's benefits administration.
  • Provide new clients with the appropriate training on TEG benefits administration activities and requirements.
  • Develop benefit strategies and practices that reflect a deep understanding of the individual client's business culture and objectives.
  • Maintain continuous open communication with clients and internal staff regarding clients' benefits needs and expectations to ensure client satisfaction. Communicate progress on each benefits project to the client and internal staff as needed.
  • Ensure communication with the client is appropriate based on TEG's standards and client's expectations.

7. Other duties as assigned and available.
  • Actively participate in meetings, training, and workgroups.
  • Provide newsfeed drafts on schedule and/or as requested.
  • Keep client relationship management system (CRM) updated with client and employee activities.
  • Other duties as assigned.

Minimum Knowledge, Skills, and Abilities:
  • Associate's degree in related field or commensurate experience
  • At least five years of applicable benefits experience, including a combination of experience researching, analyzing and administering a wide variety of employee benefit plans, including compliance and reporting.
  • Strong knowledge of employee benefit regulations and best practices
  • Excellent communication skills to include writing, speaking and the ability to adapt communication style to fit the situation and audience

Physical Requirements: Primarily sedentary work, exerting up to 25 lbs. of force occasionally or a negligible amount.
