Position Title: Assistant Client Relations Manager

Location: Redwood City, CA

Shift: 9:00 AM - 6:00 PM; Monday - Friday

Pay Rate: $70,000 - $80,000 annually

Job Summary:

The Assistant Client Relations Manager plays a crucial role in delivering exceptional service to our client in the legal sector. This position requires a proactive individual with strong communication skills and a client-first mentality. Responsibilities include overseeing facilities management, managing office setups, ensuring efficient print and mail operations, and coordinating repairs. The role demands versatility, flexibility, and a hands-on approach to problem-solving, reflecting a commitment to reliability and client satisfaction.

Key Responsibilities:
  • Act as the primary liaison between clients and Forrest Solutions, managing day-to-day operational requirements and ensuring 100% client satisfaction.
  • Execute daily activities according to Forrest Solutions Standard Operating Procedures and adhere to all company policies.
  • Handle client requests, inquiries, and issues promptly and effectively.
  • Oversee mail and print services, including the coordination of document processing and maintenance of print equipment.
  • Ensure quality assurance checks on all print jobs and coordinate the delivery of completed jobs with the mailroom.
  • Manage and address staffing decisions, including recruitment, performance management, and mentoring of employees.
  • Monitor staff time, attendance, and compliance with policies; coordinate scheduling and coverage.
  • Collaborate with People Solutions on associate-related issues and participate in management meetings to contribute to company strategy and goals.
  • Promote cross-training and ongoing development for Forrest Solutions staff, recognizing and rewarding associate development initiatives.
  • Maintain confidentiality and handle client information securely.
  • Assist clients with special projects and respond to requests for urgent print jobs.
  • Log service calls and perform minor repairs on copiers.
  • Manage inventory of supplies, including paper and binding materials.
  • Process and deliver incoming and outgoing packages.
  • Coordinate facilities management tasks, including HVAC issues, leaks, and vendor repairs, while notifying clients of any upcoming disruptions.
  • Manage facilities concerns such as off-colored ceiling tiles, office moves, desk setups for new hires, and office buildouts.
  • Assist with the set up and break down of conference spaces, including setting up catering and ensuring that technology is operating in these rooms.

Job Requirements:
  • Bachelor's degree or equivalent experience required.
  • 2+ years of management experience, preferably in a high-performance service environment; account management or service industry experience is a plus.
  • Strong leadership and people management skills, with the ability to assess performance and mentor associates.
  • Excellent verbal and written communication skills, with the ability to thrive in a high-pressure environment.
  • Effective time management, conflict resolution abilities, and a detail-oriented mindset.
  • Proficiency in Microsoft Office applications and familiarity with navigating multiple software platforms.
  • Strong organizational and prioritization skills, with the ability to analyze and resolve problems with good judgment.
  • Positive and professional demeanor at all times.
