Who/What Are We Looking For?
As an Executive Assistant, you will play a crucial role in ensuring the smooth operation of our executive office. This role is responsible for managing the schedule and administrative responsibilities of the CEO. This position serves as a supportive force to empower senior leaders to focus more on their strategic initiatives than the day-to-day administrative tasks.
The ideal candidate for this role has exceptional problem-solving skills and is extremely detail-oriented and organized. Experience working in a fast-paced environment as our organization is in a period of rapid growth.
The Executive Assistant will collaborate with General Managers, Market Area Presidents, and Regional Senior Leaders to identify opportunities and channel communication and project directives that will help drive growth, in line with business unit strategies and plans.
This position should plan for at least 2 visits per month to various locations in the region alongside the CEO as needed.
Essential Functions
Manage executive calendars, including scheduling appointments and meetings
Draft and maintain internal processes & SOPs that support
Prepare and organize documents for meetings, presentations, and reports
Act as a liaison between executives and internal/external stakeholders
Handle travel arrangements, including booking flights, accommodations, and itineraries
Assist with project management and follow up on action items
Update job knowledge by participating in professional development opportunities
Maintain confidentiality and exercise discretion when dealing with sensitive information
Support other administrative functions as needed
Qualifications
Bachelor's degree in Business Administration or a related field preferred
Strong command and understanding of how to use Microsoft Outlook
Strong command and understanding of how to use Microsoft PowerPoint
Experience with project/task management applications (e.g. Monday.com) is preferred
Demonstrated ability to build professional documentation and presentations
Excellent organizational and time management skills
Strong verbal and written communication skills
Ability to multitask and prioritize in a fast-paced environment
High level of professionalism and attention to detail
