The training programs are conducted either through live hands-on workshops offered at hotels around the country or virtually.

Job Description:

The Event Sales Manager role is a competitive position that requires excellent presentation and phone skills, as well as an outgoing personality. The candidate should be able to work independently and be self-motivated. This position is full-time and requires high energy, as it is fast-paced and team-oriented.

Deliverables and Responsibilities:

Instructor Scheduling and Management
  • Allocate instructors to courses based on their qualifications, geographic location, and compensation rates. Ensure optimal fit to enhance course quality and instructor satisfaction.
  • Maintain ongoing communication with instructors to gather feedback from recent events and address any issues or concerns.
  • Conduct weekly assessments of instructor-to-attendee ratios for each course to ensure appropriate staffing levels and adjust as necessary.
  • Prepare and distribute a comprehensive report detailing course metrics, including attendance, instructor performance, and feedback.
  • Inform relevant departments of courses with either low or high attendance, including recommendations for adjustments.
  • Identify where additional faculty is required to meet course demand or improve course delivery.
  • Decide on course cancellations due to low attendance, notify the appropriate departments, and manage the cancellation process, including alerting hotels to cancel event spaces and redirecting deposits as needed.
  • Communicate with attendees about course changes or cancellations, rescheduling them to alternative dates to minimize refund requests.

Financial Management
  • Oversee weekly payments for in-person and virtual seminars, including cross-checking instructor and remote event manager payments to ensure accuracy according to agreed rates.
  • Enter payment details into financial spreadsheets and coordinate with the finance department for accurate disbursements.

Contract Management
  • Oversee the process of contracting hotels and venues for seminars, including negotiation and review of agreements.
  • Research past hotel usage, compare pricing, and verify area suitability. Develop a comprehensive document outlining hotel proposal procedures for pre- and post-contract processes.
  • Review contracts thoroughly before passing them to the VP of Operations and VP for final approval and signature.
  • Work with Thiago to manage hotel links and ensure proper handling of contract details. Coordinate deposit schedules with Ken for financial planning.

Website, CRM, and Livestream Auditing
  • Research and ensure that upcoming courses align with attendee interests and profitability goals.
  • Address any discrepancies between the website, CRM, and livestream content. Collaborate with IT to correct course details and maintain consistency across platforms.
  • Regularly audit and synchronize website, CRM, and livestream data, including course dates, times, locations, and hotel reservation links.

Event Manager Responsibilities
  • Assign cities to event management team members based on their skills and sales strategies, ensuring effective coverage and performance.
  • Create and manage schedules for event managers to align with seminar needs and logistics.
  • Lead and travel to major seminar locations (e.g., LA, Orlando, NY, Dallas, Chicago) to boost sales and enhance attendee experiences.
  • Train the event management team on course details, event logistics, and best practices, ensuring consistency and proficiency across the team.
  • Develop and implement on-site event strategies, including setup, registration, and overall management to ensure smooth operations.
  • Prepare and deliver speeches as needed for events or internal meetings.
  • Ensure adherence to medication and safety protocols, and manage any related procedures.

Procedures and Logistics
  • Oversee the setup process, including placement of tables, paperwork, registration areas, medication, and books, ensuring a professional and organized environment.
  • Coordinate with hotels on table placement, attendee counts, and event logistics. Manage arrangements for flights, hotel rooms, vendors, agendas, AV needs, supplies, and special requirements (e.g., medication, cadavers, C-Arms).

? Flights and Hotel Room Reservations for Staff
  • Identify and pursue sales opportunities, including making sales calls and following up with potential leads.

Post-Seminar Administration
  • Maintain and review the no-show list to track attendance issues and address any follow-up actions.
  • Manage the distribution of certificates to attendees and handle any related administrative tasks.
  • Prepare and distribute vendor speech lists and follow up on post-seminar activities.
  • Review and finalize seminar expense breakdowns, ensuring accuracy and completeness.

? Negotiate with hotel if needed for deposit schedule breakdown

General Responsibilities
  • Maintain constant communication with the event team, providing updates and ensuring that tasks are completed on time and to a high standard.
  • Address and resolve any issues that arise during the event planning and execution processes.

Qualifications (Education, Experience and Skills)
  • The candidate must have at least 5 years of experience in events management. Must have experience in a Trade Show setting or Event Management is a plus.
  • Ability to manage an events team.
  • Ability to travel (New York, Texas, Las Vegas, Orlando etc.)
  • Able to lift 50-60 lbs
  • Able to effectively work individually and as a team
  • Able to take initiative and work in a dynamic, fast-paced environment juggling multiple priorities and deadlines
  • Positive attitude and flexibility to adapt to changes
  • High level of Professionalism and Integrity is a must
  • Bi-lingual (English/Spanish) highly desired

Job Type: Full-time

Salary: $80,000.00 commission & bonus structure
