Position Summary:

The Higher Education Institution Program Coordinator is responsible for one or more academic or social programs at an institution of higher education. This position is governed by state and federal laws and agency/institution policy.

Duties & Responsibilities:

The Case Manager & Co-Investigator is fundamental to ensure the Office of Institutional Integrity &Title IX remains efficient and able to respond to sensitive and critically important matters. Reporting directly to the Director of Institutional Integrity & Title IX, the Case Manager & Co-Investigator will provide administrative and investigative support to the Office of Institutional Integrity & Title IX regarding sensitive and complex matters. The Case Manager & Co-Investigator is responsible for administrative, logistical, and technical support for the intake and management of all reports related to discrimination, harassment, and sexual misconduct, including pregnancy and parenting. The position is the first line of communication between the office and its constituents. It is responsible for assisting with conducting investigations pertaining to discrimination, harassment, retaliation, and Title IX, The Case Manager & Co-Investigator will produce comprehensive reports and appropriate correspondence regarding investigations and will also assist with post-investigation follow-up with affected students and/or employees/department/division. The position will work with a high level of confidentiality and sensitivity. The Case Manager & Co-Investigator will perform related tasks under the umbrella of civil rights compliance (e.g. Title IX, VAWA, Clery), including record keeping, training and outreach to the University community, and intake, as well as other duties as assigned.

  • Respond to reports of pregnant and parenting students, working with students, faculty, and staff to provide appropriate reasonable accommodations.
  • Respond to reports of student-related sexual or gender-based harassment and sexual misconduct by conducting intake interviews with students, providing students with relevant information and resources regarding preventing, reporting, and addressing issues of sexual harassment
  • Collaborate and train faculty, staff, and campus partners to assess and implement appropriate accommodations
  • Deal with highly confidential and sensitive information on a daily basis
  • Receive reports of sexual and related misconduct, including prohibited discrimination, sexual and gender-based harassment, sexual assault, dating violence, domestic violence, stalking, and related retaliation
  • Actively foster and maintain a climate that is supportive of students, faculty, and staff;
  • Prepare and present cases for review
  • Implement informal resolutions
  • Transition cases appropriate for formal investigation to an investigator
  • Demonstrated knowledge of Title IX, VAWA, Clery, Title VII, and other applicable laws and regulations.
  • Ensure appropriate reporting for Clery, Child Abuse, Title IX
  • Maintain a database
  • Manage and monitor the processing of cases in the office
  • Thoroughly investigate claims of discrimination, harassment, Title IX and retaliation in a fair, impartial and timely manner.
  • Determine appropriate witness and evidence for complaints and investigations.
  • Meet with all appropriate parties and document investigatory meetings.
  • Determine the preponderance of evidence standard.
  • Draw conclusions, analyze trends and make recommendations for change.
  • Track investigation details in applicable systems.
  • Prepare investigatory reports, summarize findings and recommend actions and/or changes.
  • Prepare regular reports to analyze investigatory actions over a specified period of time.
  • Prepare applicable campus and system-wide reports.
  • Organize and process budget items and records for the office
  • Develop, revise, and implement administrative tasks for the office (e.g. office processes, maintaining phone and visiting logs, budget reports, shared calendars, oversee intern, GA, and work study duties)
  • Other duties as assigned


Knowledge/Skills/Abilities:

• Must be able to work independently, take initiative and handle highly sensitive and confidential information appropriately.
• Familiarity with community agencies/resources.
• Must be able to develop and maintain effective, collaborative working relationships.
• Must be proficient in Word, Excel, PowerPoint, and Adobe.
• Must be willing to learn additional software or database systems to coordinate work of office with other University offices and to develop training materials of various types.
• Must have sound judgment and reasoning skills.
• Familiarity with community agencies/resources.
• Knowledge of Title IX, Clery, VAWA, Campus SaVE, FERPA.
• Experience working in higher education is strongly preferred.

Monday - Friday
8:00 a.m. - 5:00 p.m.
Additional hours as requested and/or needed

Minimum Qualifications:

An earned Bachelor's Degree with 3 or more years of administrative/office experience, or an equivalent combination of education and administrative experience.

Experience with case management and documentation of intakes and making accommodations for students under Title IX

Candidate must have knowledge of computers and software programs such as Microsoft Office Suite (PowerPoint, Excel, Word).
