POSITION SUMMARY The Document Coordinator is responsible for the management and organization of company documents, ensuring they are properly maintained, updated, and accessible for internal and external stakeholders. This role supports various departments by coordinating the flow of documentation and ensuring compliance with company and regulatory standards. DUTIES AND RESPONSIBILITIES
Document Management: Maintain and update the document management system, ensuring documents are accurate, complete, and filed correctly.
Document Control: Implement document control procedures, ensuring proper classification, retrieval, and archiving of documents.
Compliance: Ensure that all documentation complies with company policies, industry standards, and regulatory requirements.
Version Control: Track document revisions and maintain a clear record of changes to ensure the latest versions are always available.
Distribution: Ensure timely distribution of documents to appropriate parties and provide support for document-related requests.
Auditing and Reporting: Prepare documentation for audits and assist with reporting related to document management activities.
Training: Provide training to staff on document control processes and procedures, ensuring proper usage of the document management system.
Collaboration: Work closely with various departments such as Legal, Quality Assurance, and Operations to manage document-related needs.
Security: Ensure sensitive documents are handled with confidentiality and comply with data protection regulations.
EDUCATION:
Required: Bachelor’s degree in business administration, Information Management, or a related field.
Preferred: PMP Cert; ASQ qualifications;
EXPERIENCE:
1-3 years of experience in document control, administration, or a similar role.
Familiarity with document management systems and version control.
SKILLS:
Strong organizational and time management skills.
Attention to detail and high level of accuracy.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and document management software.
Excellent communication and interpersonal skills.
Ability to handle confidential and sensitive information responsibly.
Knowledge of regulatory and compliance standards relevant to the industry.
QUALIFICATIONS:
Must be a U.S. Citizen and pass all Background Clearances.
Experience in industries like pharmaceuticals, manufacturing, or construction where document control is critical.
Familiarity with ISO standards or other industry-specific regulations.
Experience with electronic document management systems (EDMS).
PHYSICAL DEMANDS:
The performance of this position involves exposure to construction or industrial areas where the use of personal protective equipment such as safety glasses, hard hats and hearing protection is required.
