An administrative assistant, or administrative support specialist, provides a variety of administrative support to an office. Their duties can include:


  • Managing calendars: Scheduling appointments, meetings, and conferences, and making travel arrangements

  • Handling communications: Answering phones, taking messages, and responding to emails

  • Managing documents: Preparing, editing, and maintaining documents, including reports, invoices, and memos

  • Managing files: Maintaining physical and digital filing systems, and databases

  • Managing office equipment: Operating and maintaining printers, copiers, and fax machines

  • Managing logistics: Coordinating meeting logistics, including room setup and catering

  • Supporting colleagues: Working closely with other administrative staff and supporting colleagues as needed
