Job Description:

The University of Oklahoma Health Sciences Campus, located in Oklahoma City, Oklahoma, is one of only four comprehensive academic health centers in the nation with seven health professional colleges: Allied Health, Pharmacy, Dentistry, Medicine, Public Health, Nursing, and Graduate. The OU Health Sciences is the leading educator of future health care professionals in the State of Oklahoma.


 An enrollment of 3600+ Health Sciences program students are located on two campuses (Oklahoma City and Tulsa) as well as six distance locations (Ardmore, Bartlesville, Duncan, Norman, Lawton, and Weatherford).  For Spring 2024, the Health Sciences enrollment is comprised of professional (59%), undergraduate (32%), graduate (8%) and non-degree/intercampus (1%) students.  The student community is comprised of 100+ different institutions with a hope and a commitment to research, caring, and healing.


 As a newly created department within the Health Sciences Senior Vice President and Provost Office, the OU Health Sciences Recruitment & Admissions team will provide support services for prospective and current students, alumni, and University partners. This position will directly support all centralized recruitment efforts.  With a committed goal to increase enrollment and ensure the best educational experience for tomorrow’s helpers, the OU Health Sciences is an exciting and dynamic place to serve, grow, and share in the University’s life changing mission.


Duties:



  • Cultivate and build relationships with prospective students, families, high school and college counselors, and other key stakeholders across campus and the State of Oklahoma.

  • Support all OU Health Sciences signature events alongside Health Sciences Recruitment & Admissions team.

  • Represent OU Health Sciences at external college and career fairs across the State of Oklahoma, in partnership with academic college representatives.

  • Manage a variety of engagement opportunities for prospective students and academic advisors such as the Connect with a Current Student program, Pre-Health Sciences Webinar sessions, etc.

  • Support the Office of Admissions and Recruitment on the OU-Norman Campus initiatives such as Pre-Health Interest presentations, collaborating to support personalized campus visits, and other opportunities that arise.

  • Collaborate with the Communication Specialist(s) to coordinate special outreach to prospective students, creating a plan for intentional communication.

  • Partner with OU IT and Assistant Director of Strategic Initiatives to update Health Sciences Recruitment & Admissions webpages. Understanding the audience of the webpages while utilizing innovation and creativity to connect with prospective students online.

  • Fully utilize and attain the proper training for the use of the institution’s customer relationship manager (CRM) to communicate and proactively outreach to prospective students, support systems, and college academic counselors. This includes management of prospect contacts, creative messaging to students, etc.

  • Additionally, with use of the CRM, build reports and queries to track the progress and return on investment in designated territories.

  • Communicate routinely through email, calls, in-person visits, and events with prospective students, families, high school counselors, and other key stakeholders across campus, the State of Oklahoma, and regional area.

  • Sit on various in-office committees dedicated to strategy and recruitment of various populations to ensure the needs of student are met in the recruitment cycle.

  • Attend events and serve as an engaged presenter and panelist to various audiences regarding the Health Sciences recruitment processes and the student experience such as college fairs.

  • Coordinates and carries out projects or assignments pertaining to the recruitment, or activities of the university. May include counseling students, event planning, producing in-house publications, performing public relations functions, etc.; serves as a member of various project teams and may lead projects

  • Recruits students for a college. Designs and produces recruitment materials, attends recruitment fairs and presents guest lectures to students. Serves as a liaison between other colleges, admissions and records, information technology and other relevant local, regional, and national associations. Serves as a resource to guide prospective students about the admissions process and will facilitate and coordinate related application processes of the college.

  • Establish and maintain liaison with health career counselors at other universities as well as within our university; maintain and distribute information to students regarding scholarship and career opportunities; serve as the liaison/coordinator between on-campus and external entities;

  • Perform other duties as assigned.

Required Education: Bachelor's degree, AND:



  • 12 months of related experience.


Equivalency Substitution: Will accept 48 months of related experience in lieu of the Bachelor's degree for a total of 60 months of related experience.


Skills:



  • Strong ability to speak, read and write clear, concise English

  • Basic math skills

  • Computer skills, including proficiency in navigating and maintaining databases

  • Regular local and limited national travel

  • Willingness and availability to work extended and weekend hours during peak periods

  • Detail oriented for accuracy of data and information

  • Highly organized and has a keen sense of details when it comes to projects and deadlines

  • Empathetic and strong initiative in leading others

  • Strong initiative to solve problems quickly

  • Ability to communicate well and build rapport quickly with students, faculty and staff

  • Ability to read and interpret policy as well as State and Federal regulations

  • Customer service skills


Working Conditions:




  • Physical: Ability to bend, lift, stoop and carry.  Ability to engage in repetitive motions. 


  • Environmental: Standard office environment. Frequent exposure to pressure caused by deadlines and busy periods. Will be required to travel.  Ability to work effectively with a wide range of constituencies.  Requires contact with other departments and university officials. Willingness to work extended and weekend hours during peak periods.
