Job Description:

Pfluger Architects is an award-winning architecture firm specializing in higher education and K-12 architecture, creating inspiring and functional design solutions.

We are seeking an organized and proactive Office Manager to oversee the daily operations of the Corpus Christi office and support our team in delivering exceptional service to our clients.

The Office Manager'sprimary responsibility is to ensure the smooth and harmonious operation of the office. This includes managing administrative tasks, coordinating office activities, supporting the leadership team, and maintaining a productive work environment.

Key Responsibilities

Office Management:
  • Oversee daily office operations, such as managing supplies, equipment, and facilities.
  • Maintain a clean, organized, and professional office environment.
  • Coordinate and manage office maintenance, repairs, and improvements.

Administrative Support:
  • Provide administrative support to office leadership and employees.
  • Handle incoming and outgoing correspondence, including mail and phone calls.
  • Greet clients, guests, and other visitors.
  • Assist with the preparation of reports, presentations, notes, and other documentation.
  • Liaise with IT support to resolve technical issues as needed.
  • Manage office budgets, including tracking expenses and coordination of invoices.
  • Make deliveries as needed.

Event Planning & Coordination:
  • Plan and organize office events, meetings, and social activities.
  • Coordinate travel arrangements and accommodations for staff as needed.
  • Manage catering and logistics for client meetings and in-house events.

Vendor & Contractor Management:
  • Manage relationships with vendors and service providers, including plumbers, electrician, cleaning services, etc.
  • Monitor vendor performance and address any issues that may arise.

Qualifications
  • Experience: A minimum of 5 years of experience in office management.
  • Communication & Relational Skills: Must have excellent interpersonal abilities. Professional and courteous verbal and written communication skills. Must be able to work both independently and as part of a team.
  • Organized & Detail-Oriented: Applicants must have strong organizational and multitasking skills. Must be a problem-solver with a great attention to detail.
  • Technical Skills: Applicants must be proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Location: Must be able to work in-office in Corpus Christi, Texas.
