GENERAL SUMMARY:

Hybrid: *Must be able to travel to on-site location in Syracuse, NY*

This position is an exciting opportunity to work for an organization that is helping local children and families fighting childhood cancer and blood disorders. We are looking for a candidate to perform a variety of development, marketing and administrative duties to support our business operations. This position requires a high degree of confidentiality when working with personal and financial information.

ESSENTIAL JOB FUNCTIONS:

1. Supports the Executive Director in all functions.

2. Maintains website, keeping appearance dynamic and engaging.

3. Coordinates marketing efforts and messaging with external partners.

4. Manages social media in accordance with the organization plan, policy and current trends. Creates content and posts timely, sharing content we are tagged in, interacting with posters/taggers and promptly responding to inquiries.

5. Creates promotional materials at the direction of the Executive Director: flyers, social media content, graphics for email blasts, etc.

6. Participates as an event team member by working with the Events Manager and Executive Director to implement marketing/development strategies.

7. Manages the organization's data system: coordinates data flow, enters gifts and produces acknowledgements, manages data health and documents correspondence. Creates and provides reports. Works with Events Manager to express data from Event Management Software, converting it for seamless upload into Organizational Data System. Participates in trainings and attends seminars offered by the DonorPerfect platform and is the organization's "Super User".

8. Manages email platform: maintaining data health and coordinating content.

9. Manages gift receipts: collects, interprets and enters information from various online platforms (i.e.: Benevity, PayPal, etc.). Process incoming gifts promptly by recording and making deposits virtually/in person. Produces timely gift acknowledgments.

10. Supports Mission Partnerships by performing clerical duties surrounding relationships: coordinate meetings, facilitate documentation (needed paperwork, obtain and organize logos, ensure payment received, etc.).

11. Assists in the grant writing process by coordinating information and producing reports at the direction of the Executive Director.

12. Manages Comfort Kit Program: Shops for supplies, works with suppliers to order promotional materials, manages outside volunteer groups, takes requests from hospital and ensures prompt delivery of kits.

13. Answers and transfers phone calls, welcomes and directs visitors when necessary.

14. Maintains paper/digital filing systems as assigned. Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.

15. Records numerical and financial data to produce financial records, including receipts, accounts payables and payroll-related data. Reconciles and reports differences or issues found in financial records. Reconciles reports variances.

16. Responds to and resolves administrative inquiries and questions.

17. Coordinates and schedules travel, meetings, and appointments for the organization's Executive Director.

18. Prepares agendas and schedules for meetings to support the Executive Director.

19. Distributes minutes or other records for meetings.

20. Maintains office supplies and coordinates maintenance of office equipment.

21. Performs other related duties as assigned.

Required Skills/Abilities:
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office Suite or related software.
  • Proficient in Canva or similar program.
  • Proficient in database management.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently.

Qualifications:
  • High school diploma or equivalent required; Associates degree with office administration, business administration, or accounting coursework preferred.

Physical Requirements:
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at a time.

Job Type: Part-time

Pay: $20.00 - $25.00 per hour

Expected hours: 20 - 30 per week
