Job Summary:


The Coordinator of Sponsored Programs ensures the university is compliant with internal and funder policies as applied to funded contracts, grant awards, sub-awards, and subcontracts. Develops Principal Investigator/Project Director training and checklists to support Institutional policies and procedures. Coordinates with faculty, staff, administrators, and sub-recipients to provide program-related documentation for reports and audits (i.e., time and effort certification, invoices, etc.). Verifies all documentation is accurate and submitted in a timely fashion. Assists Associate Director and Senior Director with managing Faculty Research Grants. Develops newsletters for marketing the Office of Sponsored Programs. Serves as a liaison between Project Directors/Principal Investigators and external funders and other departments on campus such as Finance and Administration, the Controller's Office and Human Resources. Coordinates purchases, payments, and budget adjustments for the office. Coordinates outreach opportunities and professional development for faculty and professional staff. Collaborates with the Associate Director on monthly and annual reports. The Coordinator of Sponsored Programs also supports the Pre-Award functionality of the unit by developing and checking budgets, proofreading, editing and assisting with writing grant proposals, interpreting guidelines, coordinating meetings with potential grant proposal partners, and supporting the Associate Director and the Senior Director as they develop grant proposals and applications.



Duties and Responsibilities:


  • Supervises maintenance of essential pre-award and post-award records and files related to grants and contacts.

  • Coordinates with University personnel, including faculty, internal auditor, university counsel, department heads, deans, vice presidents and others for pre-award and post-award activities.

  • Tracks pre-award and post-award documentation and communicates with Principal Investigator/Project Director on a timely basis.

  • Coordinates pre-award and post-award meetings with faculty to meet funding requirements and ensures compliance with funding sponsor and university policies.

  • Disseminates electronic information about policies, or program reporting to faculty and staff on a regular basis. Informs Principal Investigator/Project Director of requirements.

  • Provides professional development/training sessions on grants and contracts to Principal Investigator/Project Director upon award of grants/contracts in compliance with federal, state, local or sponsor regulations.

  • Assists in editing, and reviewing policies related to Sponsored Programs.

  • Coordinates meetings with Principal Investigator/Project Director upon award.

  • Assists Principal Investigator/Project Director with the preparation of programmatic reports regarding external funding awards.

  • Helps to manage the university's post-award process for programs when awarded from external sponsors.

  • Reviews federal, state, local and private funding guidelines for managing grants.

  • Performs other related duties as assigned.


  • Required Minimum Qualifications:


  • Master's degree in an applicable academic discipline

  • Two (2) to three (3) years of experience in working with organizations including business and industry, local governments, county governments, nonprofit organizations, colleges, universities, or school districts.

  • OR



    • A bachelor's degree in an applicable academic discipline

    • Four (4) to Six (6) years of experience in working with organizations including business and industry, local governments, county governments, nonprofit organizations, colleges, universities, or school districts.



    Preferred Qualifications:



    • Minimum two (2) to three (3) years of experience in grant proposal writing and development and working with grant awards within the post-award process.
