We are seeking a highly organized and proactive Executive Specialist to provide comprehensive support to two members of the Enterprise Leadership Team. This role demands exceptional multitasking abilities, strong communication skills, and a keen attention to detail. This role will interact with Executive Officers, Board Members, Board Liaison and the Chairman of the Board of Directors. The ideal candidate will be instrumental in ensuring the executives' workdays run smoothly and efficiently, allowing them to focus on high-level strategic initiatives.

Key Responsibilities
Administrative Support


  • Manage complex calendars, including scheduling meetings, appointments, and travel arrangements.

  • Prepare and edit correspondence, communications, presentations, and other documents.

  • Organize and maintain files and records, ensuring the retrieval of critical documents when needed.

  • Coordinate logistics for meetings, including preparing agendas, taking minutes, and following up on action items.


Communication Management

  • Act as the primary point of contact for internal/external stakeholders.

  • Screen and prioritize incoming communications, including emails and phone calls, and respond on behalf of the executives when appropriate.

  • Facilitate the flow of information within the organization, ensuring timely and accurate dissemination of information.


Project Coordination

  • Assist in the planning and execution of special projects and initiatives led or at the request of the executives. Examples include off-site events, internal and external speaking events, presentations, etc.

  • Track and report on project progress, ensuring deadlines are met and objectives are achieved.

  • Liaise with various departments to ensure project alignment and effective collaboration.


Travel and Expense Management

  • Arrange and coordinate complex travel itineraries, including flights (commercial and private domestic and international), accommodations, and ground transportation.

  • Prepare and process expense reports, ensuring compliance with company policies and timely reimbursement.

  • Monitor and manage travel budgets, seeking cost-effective solutions without compromising quality.


Qualifications

  • Bachelor's degree preferred.

  • Experience: 5+ years of experience as an Executive Assistant, preferably supporting C-Suite executives.

  • Exceptional organizational and time-management skills, with the ability to prioritize and manage multiple tasks simultaneously.

  • Excellent verbal and written communication skills, with a professional demeanor and the ability to interact effectively with senior executives and stakeholders.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and other relevant software.

  • Strong problem-solving abilities, with a proactive and adaptable approach to challenges.

  • Minimal travel required.


  • High level of discretion and confidentiality, with the ability to handle sensitive information with integrity.
