Job Description:
The Nebraska Public Service Commission seeks detail-oriented, self-motivated, and conscientious individual to provide administrative support to the Commission's State 911 Department.
Performing administrative duties including: answering phones, processing mail, filing, record keeping and data input.
Opening and maintaining files for applications received by the department.
Preparing and modifying documents including correspondence, e-reports, drafts, memos, and emails.
Organizing, compiling, and distributing weekly Commission agenda, minutes, and orders, and preparing notices and other miscellaneous correspondence with regard to Commission dockets.
Developing contact lists on LISTSERV for the Sheriff, Chief of Police, 911 Director or Emergency Manager that has responsibility for each PSAP in their city or county.
Utilizing Database of Integrated Authority Listing (DIAL) to search carrier information related to 911 such as regulatory contacts and remittance of 911 surcharges.
Scheduling and organizing activities such as meetings, travel, and department activities for 911 staff and board members.
Completing the annual 911 Remittance audit process including reviewing telecom carriers selected for the audit, confirming if any meet the 911 audit waiver guidelines, and preparing and dispersing audit letters to carriers via e-mail and certified mail.
Assisting staff and board members with preparing expense reimbursements.
Other administrative duties as assigned.
Requirements / Qualifications:
Minimum Qualifications: Four years of related experience in an office setting. Strong interpersonal and communications skills, both verbal and written. Proficient with the following: Microsoft Excel, Word, Access, and Outlook. Ability to work independently and multi-task.
Preferred Qualifications: Associates degree in office management, business, or related field.
Schedule: 8:00 am - 5:00 pm, Monday - Friday; flexibility available to promote work-life balance.
Hiring Rate: $42,000 - 47,000; salary is negotiable commensurate with experience; may be eligible for 5% increase after 6-month original probation.
Dress Code: Employees are expected to attend Commission Meetings and hearings in business formal attire. Commission Meetings typically occur on Tuesdays but may occur on other days and are scheduled well in advance. Reasonable casual attire is allowed for all other days.
Knowledge, Skills and Abilities:
Knowledge of: Office management and record keeping methods and practices; operating standard office equipment; administrative report preparation practices; federal and state laws and regulations governing work assigned.
Skills in: Organizational skills; high tolerance for working through frequent interruptions; strong interpersonal and communications skills, both verbal and written; proficiency with Microsoft Word, Excel, and Outlook; excellent proofreading skills; excellent time management skills; and ability to multi-task and prioritize work.
Ability to: Interact with immediate supervisor and senior managers, employees, and the public to gain their cooperation and to establish work relationships; formulate and recommend modifications to operational directives to attain department goals; apply management practices, techniques, and methodologies to assigned activities; collect, assemble, and analyze facts and draw conclusions to recommend solutions to problems; identify and interpret program-administrative requirements, policies, and regulations to provide guidance and advice; organize and present facts and opinions to managers and groups.
