Job Title:OIA Operations Director - Office of International Affairs (OIA)Department:International Affairs | Administration
Reporting directly to the Vice Provost for Global Strategies and International Affairs (VP), the OIA Operations Director will be responsible with facilitating and enhancing the overall management of OIA. This is a leadership position that will assist the VP in effective and efficient decision-making. The director will serve as the first step for consultation for all OIA units in all operational matters, such as personnel-related issues, everyday workflows, coordination with other units inside OIA, financial and budgetary matters. The director will work closely with HR and finance managers assigned to OIA to foster a high-performing work culture and to ensure the budget is aligned with the activities of OIA. The director will maintain a high level of communication and interaction with the VP and key leadership to ensure that the organizational structure and operations are appropriately designed and implemented. The director will also participate in projects and strategic initiatives, collect information and data, and provide advice and make recommendations to inform a wide variety of operational issues to ensure best practices are employed by all OIA units.
Leadership and Management (45%)
Serve as the principal advisor for the VP by assisting with key strategic priorities and constituencies
Collect, create, and maintain data about the day-to-day operations of OIA
Implement procedures to organize, communicate, and manage key priorities and projects
Facilitate effective and efficient decision making by analyzing data, identifying and bringing together appropriate parties
Design and implement a comprehensive assessment framework to measure outcomes and operational effectiveness
Serve as the conduit between the VP and OIA directors
Communicate with the VP on a regular basis, highlighting progress towards goals, as well as risks and dependencies.
Develop and manage unit surveys, program reviews, and other evaluative processes.
Supervision, Budgeting, and Office Oversight (45%)
Works closely with the Executive Assistant to the vice provost to assess inquiries and determine proper course of action and delegate to the appropriate personnel.
Facilitate and support the daily operations of the OIA units
Oversee OIA's operating budget, monitor expenses, and establish budget priorities consistent with the goals of each unit
Work closely with OIA's HR Business Partner to foster a high-performing work culture. Works with finance to ensure the budget is aligned with the activities of OIA
Serve as day-to-day supervisor for operations and/or support staff
Other duties as assigned (10%)
Maintain relationships with university offices and units in support of OIA priorities to ensure proper and timely communications.
Lead and/or serve on workgroups and task forces that advance OIA, OAA, and university initiatives.
Minimum Qualifications:
Bachelor's degree in relevant field
Six (7) years of related experience in academic administration
Strong analytical and data management skills
Experience leading complex, cross-functional initiatives
Experience supervising and mentoring staff in related field
Proficient with Microsoft Office Suite and aptitude to learn new technology
Excellent communication, presentation, and interpersonal skills.
Highly organized and detail oriented; ability to problem solve and to handle multiple responsibilities
Demonstrated ability to work cooperatively with diverse individuals and groups in a team environment
Preferred Qualifications:
Experience in either management, strategy and operations
Advanced degree in relevant field
Experience in international programs and administration
12 years of relevant experience desired
