Reporting to the Manager of PAS & OR Scheduling, the Supervisor of PAS & OR Scheduling is responsible for Operating Room scheduling and utilization management, Radiology scheduling that includes MRI, nutrition, lab, PFT and birthplace scheduling.
• Works as member of enterprise-wide team to provide ideas and information to support improved utilization of system wide OR resources (asset management).
• Provides daily oversight to front end activities that support expeditious patient scheduling. Works closely with clinical areas to ensure seamless process for patients and families.
• Responsible for all Scheduling system conversion activities as needed
• Oversees scheduling process for over 11 operating rooms and coinciding patient activity. Ensures proper guidelines and procedures are followed and manages process and ongoing improvements to the system.
• Expert in Epic snapboard functionality to monitor utilization and advise team accordingly.
• Manages and reviews various reports to monitor flow and workload of department data functions and productivity.
• Continually strives to improve all services provided by the Scheduling Dept. by improving customer service provided to patients, their families, administrative and clinical personnel, and the hospital's referral network.
• Analyzes, interprets, and coordinates data on all services provided to ensure targets are met and quality and quantity standards are adhered to. Compiles and analyzes statistical and/or narrative reports relative to department services. Responds to requests for information and data analysis and collaborates with stakeholders on data collection efforts throughout SLM.
• Mentor, coach, and enhance employees throughout the Department. Ensures proper hiring methods are adhered to and equal opportunity employment endeavors are met. Actively works to ensure resolution of employee issues and concerns. Oversees corrective action processes. Assures timely completion of employee performance evaluations.
• Champions effective communication by ensuring information on matters affecting interests of the Scheduling Team and its members is appropriately communicated. Attends and participates in meetings and committees, as appropriate.
• Reviews and responds to Safety Reports on behalf of Patient Access Services Dept.
• Works in conjunction with Patient Care Services, Medical Staff, Nursing, Case Management, Medical Records, HIM, Patient Accounts, and Information Systems to provide coordination of and quality data related to activities which affect patient services.
• Arranges for orientation and in-service education of staff. Trains and maintains flexible staff who can perform Department functions with priority placed on compliance initiatives, the care of patients, and reimbursement efforts.
• Work collaboratively with Patient Access Business Manager to ensure training curriculum is valid, relevant, effective and up to date.
• Train employees when necessary.
• Review scheduling calls with employees to ensure utmost customer service.
• Maintain quality assurance process to ensure transcribed orders are accurate.
• Assist Manager with staff schedule
• Supports Scheduling manager in any other tasks as assigned.
• Review, update and document new policies and procedures as it relates to workflow, patient safety, equity and inclusion and more.
Qualifications
• Excellent written and verbal communication skills
• Familiarity with Hospital Environment
• Minimum of 5 years of supervisory/managerial experience required
• High School Diploma required
• Bachelor's Degree Preferred
