POSITION: Full-Time Non-Credit Registrar (Registrar): Center for Corporate and Community Education; Haverhill Campus; 37.5 hours per week, Non-Unit Professional Position
SUMMARY: The Non-Credit Registrar will report directly to the Executive Director of the Center for Corporate and Community Education, with equal work done on behalf of the Center for Adult Education, and dotted line reporting to the Academic Affairs Associate Dean/Registrar. The Non-Credit Registrar manages and oversees the student information system (SIS) for non-credit programs, ensuring accurate course scheduling, enrollment, and data management. This role includes financial oversight, data governance, and system integration to support the seamless operation of all non-credit offerings. The registrar also provides direct student support, prepares reports for institutional use, and collaborates on marketing strategies to promote programs. As a key member of the workforce development team, this position ensures compliance with institutional policies and supports the strategic goals of the college.
RESPONSIBILITIES:
System management (25%) of the non-credit student information system, Modern Campus Lifelong Learning Extended Education - LLL EE (formerly Destiny One)
Leads and facilitates inter-departmental collaborations ensuring alignment and best practices between Corporate and Community Education (CCCE), Center for Adult Basic Education (CAE), IT, Institutional Effectiveness (IE), Finance, and Marketing and Communications to identify and document best practice workflow for all LLL EE processes
Leads and facilitates collaboration with vendor, CCCE, CAE and other departments to identify and implement additional features to enhance customer service, increase participants, and make data informed decisions
Communicates policy and procedural changes across all internal channels
Identifies and documents all major workflows for data governance leading and interfacing with other internal groups for all platform functions - finance, course management, enrollment, student communications, marketing, and data collection and integration.
Course management (20%)
Maintains master non-credit course catalog
Maintains master course schedule and room scheduling for all non-credit courses and programs
Opens new semesters, creates new course sections and new courses as need by CCCE and CAE
Manages CCCE and CAE enrollment status and notifies roster distribution for all classes
Data governance and system integration (15%)
Responsible for data integrity and integration in collaboration with IE, IT, CCCE and CAE to ensure accurate reporting and recording keeping in accordance with college strategic plan and governance
Liaise with IT and IE at regular intervals to review data requirements identifying and any adjustments required
Represents CCCE and CAE on data governance committee
Student support/Instructor support (15%)
Maintain student profiles and class registration for all non-open enrollment classes (Corporate Ed, Grant funded programs) as needed
Assists open enrollment students with profile creation and registration as needed
Manages communications with faculty regarding course class lists, grading input and final grades
Facilitates and participates in instructor training
Reporting (10%)
Actively participates with CCCE and CAE in all state and grant required reporting
Develop implement and iterate best practices for reporting including Workforce Incentive, HEIRS/IPEDS and state and private funded grants
Financial Management (5%)
Manages finance functions including initial payment, credits, and refunds
Supports processes for individual and corporate payments and reporting
Marketing (5%)
Maintain updated marketing content for CCCE, CAE coordinating and working with Marketing for outward facing website portion of the LLL EE platform
3rd party partners data integration (5%)
Manage CCCE and CAE data input and integration of 3rd party data
Job Requirements:
MINIMUM QUALIFICATIONS:
Bachelor's degree or equivalent experience
A minimum of one (1) year of experience in higher education or related field
Must be able to communicate clearly and concisely and work effectively with a diverse population of faculty, staff, students internal and external constituents at all levels
Solid technical working knowledge of Student Information Management software systems such as Ellucian Banner, Modern Campus Lifelong Learning (FKA DestinyOne)
Demonstrated knowledge of and experience with data collection, handling of personally identifiable information (PII) and FERPA requirements
Proven ability to build consensus and work effectively within a cross-functional team
Excellent organizational and time management skills
Proficiency with Microsoft Office Suite
Strong attention to detail, ability to multi-task, work under pressure with interruptions, meet established deadlines, and work effectively on a team
Sensitivity to cultural diversity and ability to interact effectively with people of all ages

Additional Information:
